Schedule: Monday–Friday, 8:00 AM–4:30 PM
Pay: $23.00 to $28.00 (based on experience)
Status: Full-time, 40 hours per week, hourly, eligible for overtime
LIUNA Training of Michigan is seeking a detail-driven Administrative Assistant. Our administrative team manages significant workload with limited staff, and the volume increases and decreases with the construction season. The ideal candidate is comfortable navigating changing needs, with minimal supervision, and occasional administrative complexity that comes with supporting a statewide training organization.
You'll be part of a team dedicated to putting union members first by helping them succeed in their employment. Accuracy and timeliness are critical when completing tasks and providing information on behalf of members to their locals and contractors, as these efforts directly impact their livelihood. While the tasks may be routine, the ever-changing industry demands, and our commitment to maintaining efficient office operations while prioritizing members, locals, and contractors remains the ultimate foundation.
This position blends fast-paced work, cross-department support, member and affiliate service.
Role Breakdown
50% Data Entry: Entering class information, processing applications, updating records, logging certifications, scanning and classifying documents.
25% Data Integrity: Verifying accuracy of data, reconciling records, correcting inconsistencies, maintaining databases, creating and utilize reports to ensure data integrity.
20% Customer Service: Answering phones, assisting members, coordinating communication between departments, sending class notifications, responding to scheduling-related questions, retrieving and processing mail items.
5% Payments Processing: Processing stipend checks based on student mileage, processing payments for licensing fees, recording checks and payments in accounting software and member tracking systems.
Key Responsibilities
Perform daily administrative tasks accurately and efficiently.
Professional etiquette during in-person and over the phone interactions.
Enter, update, and verify class, member, and training records with high accuracy, scan, classify, and maintain electronic and paper files.
Ensure consistency in daily operations and data integrity.
Communicate and coordinate with co-workers, direct reports (Supervisor and/or Director) members, local union halls, and contractors.
Collaborate to resolve issues, improve, and support business operations.
Prioritize daily tasks in a dynamic environment.
Process mail, prepare reports, take notes, and support administrative workflows.
Adapt quickly to procedural changes and maintain workflow in a busy office environment.
Create, print and record payments (checks or otherwise).
Perform other administrative tasks as assigned.
Preferred Skills & Experience
Minimum 3 years of experience in an office or administrative setting
Proficiency with Microsoft Office (Word, Excel, Outlook, Access)
Ability to operate office equipment, printers, laminators, folding machines, typewriters etc
Strong accuracy, attention to detail, and data-analysis skills
Solid time management and the ability to shift between tasks smoothly
Professional communication skills, both written and verbal
Experience organizing digital and physical files
Comfort with basic math. (Addition, Subtraction, Multiplication, and Division)
Familiarity with Excel formulas and Access reporting is a significant advantage
Membership Tracking Program experience is a plus
Works well in a team or independently

Compensation & Benefits
Salary Range - $23.00 to $28.00 per hour (based on experience and qualifications)
