Perfect Connections Security Systems is seeking a highly capable Office Operations & Administrative Coordinator to support daily office operations and work closely with the Operations Manager. This role is ideal for someone who thrives in a fast-paced environment, takes ownership of their work, and is confident making decisions within established processes.
We are looking for a self-starter who can quickly learn systems, retain information, and execute tasks with minimal oversight. This role requires independent decision-making, ownership of daily tasks, and plays a key role in keeping the office running smoothly and efficiently.
Key Responsibilities
- Provide day-to-day administrative and operational support
- Manage customer communications via phone and email professionally and efficiently
- Assist with scheduling, service coordination, and internal task tracking
- Process invoices, payments, and basic accounts receivable/payable tasks
- Maintain accurate records, documentation, and internal systems
- Follow established procedures while identifying opportunities for improvement
- Anticipate needs and proactively handle tasks without waiting for direction
- Work independently while collaborating closely with the Operations Manager

- Learns quickly and preserves knowledge
- Is comfortable making decisions within guidelines
- Takes initiative and completes tasks without being asked multiple times
- Asks insightful questions for clarity — then applies the answers going forward
- Is organized, detail-oriented, and reliable
- Well focused while managing multiple responsibilities
- Is confident, resourceful, and solution-oriented
Required Skills & Experience
- 2+ years of administrative, office operations, or similar experience
- Strong written and verbal communication skills
- High level of organization and attention to detail
- Comfort using office software and learning new systems
- Ability to work independently and manage time effectively
Nice to Have (But Not Required)
- Experience in service-based or technical industries
- Familiarity with invoicing, scheduling, or customer service operations
- Process-oriented mindset (enjoys checklists, systems, and efficiency)
