The Executive Assistant (EA) is the CEO's strategic right hand, responsible for ensuring the CEO operates at maximum effectiveness across all brands. This is not a task-taker role, but one focused on anticipation, organization, and follow-through — safeguarding the CEO's time, enforcing accountability, and bringing structure to fast-moving priorities.
Given that the CEO's strengths lie in sales, communication, ideation, and problem-solving, this role complements those strengths by owning structure, prioritization, operational continuity, and execution. The EA plays a critical role in translating vision into action and ensuring commitments move forward consistently.
The ideal EA is proactive, composed, discreet, and consistently two steps ahead — someone who thrives in high-trust environments and brings calm control to complex situations.
Core Mission
Enable the CEO to operate in their zone of genius — vision, strategy, and revenue growth — by owning organization, planning, communication flow, and execution across multiple brands.
Requirements 1. Executive Operations & Time Management
Manage CEO's complex calendar across all brands, ensuring priorities are followed and protected.
Gatekeep time and communication by filtering, prioritizing, and managing inbound requests.
Prepare the CEO for all meetings with agendas, briefing notes, and required documents linked within the invite.
Ensure follow-up actions from all meetings are tracked and completed by stakeholders as well as by the CEO.
Run daily "CEO Alignment Huddle" (10–15 min): priorities, blockers, decisions, schedule.
Maintain CEO's operating system: SOPs, workflows, project trackers, priority lists for weekly revision.
Manage alignment between CEO's strategic priorities and weekly execution.
Own weekly, monthly, and quarterly planning cycles for the CEO.
Ensure CEO's commitments are honored through reminders, nudges, pre-work, and deadlines.
Build systems that increase visibility and reduce oversight gaps.
Act as the CEO's communication extension by drafting emails, updates, reports, and presentations.
Maintain high-level communication between CEO and leadership (COO, CSO, GM, franchisees, suppliers).
Track all multi-brand initiatives (Roofing, Siding, Deckify, ECG, franchising).
Prepare KPI dashboards, status updates, and executive summaries.
Conduct research, gather information, and prepare decision-ready analysis for the CEO.
Support large initiatives (e.g., Deckify rollout, franchise scaling, partnerships, events).
5. Culture, Events & Leadership Support
Help plan and execute company events, retreats, training sessions, and franchise meetings.
Assist with onboarding for senior hires or new regional leaders.
Maintain a pulse on the organization and help the CEO stay connected to team dynamics.
Manage and upkeep office supplies through proactive monitoring and organized systems that keep everything stocked and exactly where it should be.
Maintain a tidy, functional office environment by anticipating needs and resolving small issues before they become big ones.
Ensure all office tools, supplies, and resources are readily available to support efficient daily operations across all brands.
Booking travel, reservations, and personal appointments.
Managing personal calendar items that overlap with business obligations.
Light personal assistant duties to free CEO bandwidth where appropriate.
