DUTIES AND RESPONSIBILITIES
Customer Care
- Create a warm, supportive experience for clients, families, and internal/external partners by delivering exceptional customer service.
- Maintain office supplies and ensure the clinic environment is clean, organized, and inviting each day.
- Assist with client file requests and documentation needs with accuracy and care.
- Partner with the Client Services Management team to collect important paperwork such as authorizations, consents, and Explanation of Benefits.
Operational Excellence
- Use operational checklists to stay on top of weekly responsibilities and support smooth clinic operations.
- Maintain Client CentralReach labels and keep schedules updated for assigned locations.
- Document communication and cancellations clearly and promptly to help teams stay aligned.
- Build accurate schedules by tracking staff and client availability.
- Prepare scheduling and billing reports and keep assigned clinic lists organized and current.
- Work closely with clinical teams to ensure sessions are converted and signed in a timely manner.
- Step in to provide administrative support coverage when needed, contributing to a team-first environment.
- Partner with Operations Managers to maintain organized folders and digital files.
- Identify and communicate any risks or compliance issues to support a safe and professional workspace.
- Collaborate with other departments to ensure paperwork and tasks are completed quickly and accurately.
- Support accreditation activities with attention to detail and follow-through.
- Meet deadlines consistently, producing high-quality work with care and pride.
Qualifications & Skills
- Must be at least 18 years old
- High School Diploma or equivalent required
- Experience or interest in supporting individuals with disabilities preferred
- Reliable transportation to get you where you need to go required
- Experience in an administrative role preferred
- Completion of First Aid and CPR training within 30 days of hire required
- Ability to pass background check and fingerprint clearance required
- Cleared TB test, where applicable

- Lifting up to 15 lbs as needed
