Position Overview
We are seeking a reliable, organized, and customer-focused Front Desk Administrative Assistant to serve as the first point of contact for our office. This individual will handle a variety of administrative duties, including answering phones, managing communication with vendors, clients, and residents, coordinating move-in procedures, and supporting day-to-day operations. The ideal candidate has strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Front Desk & Communication
- Answer and direct incoming phone calls and emails professionally and promptly.
- Greet visitors and residents with a friendly and professional demeanor.
- Maintain organized front desk and reception area.
- Vendor, Client & Resident Relations
- Serve as a liaison for vendors, clients, and residents to ensure positive and consistent communication.
- Move-In Coordination
- Coordinate move-in and move-out procedures in compliance with HOA or property management guidelines.
- Prepare welcome packets and ensure all required documentation is received and properly filed.
- Communicate with new residents to ensure a smooth onboarding experience.
- Application Screening
- Process and screen resident applications in accordance with company and HOA standards.
- Verify documentation and maintain confidential applicant records.
- Assist in preparing lease documents and related administrative paperwork.
- Administrative Support
- Perform general office duties such as filing, scanning, data entry, and mail distribution.
- Assist with scheduling meetings and maintaining calendars.
- Support management with special projects and reporting as needed.
Job Type: Temp-to-hire
Pay: $ $26.00 per hour
Expected hours: 40 per week
