Position Overview

We are seeking a reliable, organized, and customer-focused Front Desk Administrative Assistant to serve as the first point of contact for our office. This individual will handle a variety of administrative duties, including answering phones, managing communication with vendors, clients, and residents, coordinating move-in procedures, and supporting day-to-day operations. The ideal candidate has strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities

  • Front Desk & Communication
  • Answer and direct incoming phone calls and emails professionally and promptly.
  • Greet visitors and residents with a friendly and professional demeanor.
  • Maintain organized front desk and reception area.
  • Vendor, Client & Resident Relations
  • Serve as a liaison for vendors, clients, and residents to ensure positive and consistent communication.
  • Move-In Coordination
  • Coordinate move-in and move-out procedures in compliance with HOA or property management guidelines.
  • Prepare welcome packets and ensure all required documentation is received and properly filed.
  • Communicate with new residents to ensure a smooth onboarding experience.
  • Application Screening
  • Process and screen resident applications in accordance with company and HOA standards.
  • Verify documentation and maintain confidential applicant records.
  • Assist in preparing lease documents and related administrative paperwork.
  • Administrative Support
  • Perform general office duties such as filing, scanning, data entry, and mail distribution.
  • Assist with scheduling meetings and maintaining calendars.
  • Support management with special projects and reporting as needed.

Job Type: Temp-to-hire

Pay: $ $26.00 per hour

Expected hours: 40 per week
