We are a warm, family-focused child development centre in Barrie supporting autistic and neurodivergent children and their families. Our programs span ABA therapy, school-aligned learning, and group programming. We are collaborative, evidence-based, and community-minded.
Role Summary
The Clinical Administrator is the operational hub of the centre. You will keep day-to-day workflows moving, coordinate schedules and rooms, support family communications and intake, and ensure clinicians have the materials, documentation, and space they need to deliver great care.
Key Responsibilities
Clinic & Office Operations
- Front-desk flow: reception, phones, inbox triage, visitor sign-in.
- Daily schedule management across ABA, learning supports, and groups (rooms, calendars, cancellations/waitlist).
- Maintain PHIPA-compliant records, consents, incident logs, and program documentation.
- Track supplies; prep treatment and learning rooms.
Family Communications & Intake
- Primary point of contact for parents/caregivers for non-clinical questions.
- Guide intake and onboarding paperwork; confirm requirements and timelines.
- Send schedule updates, reminders, and general notices in a timely, professional tone.
Clinical & Documentation Support
- Support Clinical Directors/Supervisors and therapists with admin tasks and meeting prep.
- Format reports, enter data, prepare visual supports/client materials, maintain accurate attendance.
- Coordinate internal calendars, training sessions, and team meetings (agendas, minutes, follow-ups).
Billing & Coordination
- Create invoices in Jane; record payments and reconcile therapy hours.
- Prepare billing summaries; follow up on outstanding payments or funding documentation (e.g., OAP).
Qualifications
Must-Haves
- Experience in a clinic, ASD centre, school, or health setting (front office or coordination).
- Strong organization, calendar/scheduling skills, and attention to detail.
- Clear, warm communication skills (phone, email, in person).
- Comfortable with Jane (asset), Google Workspace, and shared calendars.
- Working knowledge of PHIPA/privacy best practices.
- Ability to prioritize independently in a fast-moving environment.
Nice-to-Haves
- Familiarity with ABA environments and autism services.
- Exposure to Ontario Autism Program workflows/funding.
- Experience with portals/e-signature tools (e.g., SuiteDash, Jotform, Adobe Sign).
Compensation, Schedule, and Conditions
- Salary: Starting at $55,000 annually, commensurate with experience.
- Hours: Monday–Friday, 8:00 a.m. – 4:00 p.m. (on-site).
- Location: Barrie, ON (free parking; transit-accessible).
