Job Summary This role internally supports the sales cycle from bid to contract review. The ideal candidate is proactive, detail-oriented, someone who thrives on deadlines, communication, and organization. You love digging into the details—and enjoy supporting a fast-paced team across multiple territories. Key Responsibilities and Duties Coordinate the end-to-end public and private bid process, including reading, interpreting, preparing, and submitting all required forms and submittals. Review and interpret specifications, plans, and addenda to ensure full compliance with bid requirements. Create, compile, and manage digital bid folders and all related documentation. Review customer contracts to ensure we are meeting the needs of each specific customer. Communicate with customers regarding changes in contract language. Collaborating with sales reps for alignment on project quotes, cost workups, and the customer contracts. Organize and prioritize tasks to meet hard deadlines and multiple ongoing projects. Ensure that Midstates is represented professionally and accurately in all external bid submissions and communications. Expertise Strong administrative, organizational, and written communication skills Excellent attention to detail, time management, and ability to meet deadlines Ability to communicate clearly and collaborate with internal and external teams Adaptable and able to juggle changing priorities in a dynamic environment Self-motivated, with a sense of urgency and accountability High proficiency in Microsoft Office and PDF editing tools (Adobe, BlueBeam); familiarity with CRM systems and Adobe Creative Suite a plus.
