The
Development Assistant & Event Coordinator
is a full-time, on-site role responsible for supporting the Development Department through philanthropic event fundraising, capital campaigns, and meticulous database administration. Reporting to the Director of Development, you will serve as the primary administrator for the school’s constituent database and provide hands-on event support in collaboration with the Administrative team. This is a performance-based position featuring quarterly reviews in the first year to ensure high standards of execution and record-keeping. The ideal candidate is a solutions-oriented professional with exceptional communication and organizational skills. You should excel at budget management, multitasking, and problem-solving under tight deadlines. A flexible schedule is required to accommodate the 40-hour work week, as hours will fluctuate significantly during peak event seasons to ensure successful project follow-through. Essential Duties and Responsibilities Planning, managing, monitoring, and maintaining logistics for all events. Event registrations/RSVP's. Vendor research and oversight, support budget management. Coordinate event collateral with Marketing and Communications Manager Oversee the acquisition and management of event supplies, inventory and purchasing. Develop day of event materials including but not limited to Run of Show, event script, event briefings, honoree awards, table decorations. Assist with on-site event execution including room set up and management of event volunteers. Assist with administrative duties as needed. Assist with database administration (i.e. enter donations/update alumni records). Outreach/Communications Coordinate with the development team on sponsor recognition. Collaborate with the development team to develop and disseminate emails to all attendees/donors. Develop post event wrap-up reporting: Recap, Reports and Receipts. Responsible for securing in-kind donations for event raffles and auctions. Skills/Qualifications Fundraising experience Event experience - strong preference for fundraising event experience. Values teamwork and open communication. Detail oriented with the ability to multitask & manage multiple priorities.
