Key Responsibilities
Calendar & Meeting Management: Schedule and coordinate meetings, conference calls, and appointments across multiple time zones; prepare agendas and follow‑up materials.
Communication & Correspondence: Respond to emails and phone calls professionally, draft and edit reports, presentations, and official correspondence.
Travel & Logistics Coordination: Arrange flights, accommodations, transportation, and itineraries for executives or team members.
Document & Records Management: Maintain digital and physical filing systems, manage contracts, compliance documentation, and sensitive data with strict confidentiality.
Data Entry & Reporting: Perform accurate data entry, generate reports, track expenses, and assist with billing, invoicing, and basic bookkeeping tasks.
Vendor & Stakeholder Liaison: Serve as a point of contact for external vendors, clients, and internal departments; manage procurement and office supply orders.
Onboarding & Project Support: Assist in onboarding new employees, prepare training materials, and support special projects or event planning.
Technology & Tools Proficient in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, Zoom, Slack, and other collaboration platforms.
Required Skills & Qualifications
High school diploma (some roles prefer an associate or bachelor’s degree).
Proven experience in administrative or office support roles.
Advanced proficiency in Microsoft Office or Google Workspace.
Strong time management, attention to detail, and self‑motivation.
Excellent written and verbal communication skills.
Ability to multitask, prioritize, and work independently in a remote environment.
