The School Operations Coordinator is responsible for supporting the efficient and effective day-to-day operations of the school. This role serves as a central point of contact for students, families, staff, and visitors, while ensuring that operational systems, processes, and logistics run smoothly. The coordinator works closely with school leadership to maintain a safe, organized, and welcoming environment that supports student success and staff effectiveness. *Please note, this is a 12-month role.
Key Responsibilities:
Office & Front Desk Management
- Serve as a primary point of contact for the school, including managing the front office, greeting visitors, and responding to phone calls and emails
- Maintain a welcoming, professional, and customer service-oriented environment
- Ensure the organization, cleanliness, and functionality of the main office
- Provide general administrative and operational support to staff and leadership
Inventory & Procurement
- Develop and maintain inventory systems for instructional materials, supplies, and equipment
- Monitor stock levels and coordinate the ordering and distribution of materials
- Train staff on purchasing and inventory procedures
- Conduct regular inventory checks to ensure accuracy and availability
Facilities Coordination
- Identify, report, and track facilities issues to ensure timely resolution
- Participate in routine walkthroughs to ensure the building is safe, clean, and well-maintained
- Support systems that uphold school-wide standards for cleanliness and organization
Systems & Operations
- Support the implementation and management of school-wide operational systems, including transportation, safety protocols, food services, procurement, and compliance
- Coordinate and oversee daily operational processes such as arrival, dismissal, and attendance
- Assist with evaluating and improving systems to increase efficiency and effectiveness
- Support special projects related to school operations
Student Enrollment & Family Engagement
- Assist with student enrollment, registration, and re-enrollment processes
- Communicate with prospective and current families regarding enrollment and school information
- Maintain accurate enrollment data, waitlists, and student records
- Support planning and execution of family engagement and recruitment events
Administrative Support & Data Management
- Maintain accurate student information in school data systems (e.g., SIS platforms)
- Perform data entry, reporting, and analysis for school operations and compliance needs
- Coordinate the distribution of student materials such as IDs, uniforms, and transportation passes
- Support school-wide events, meetings, and staff activities
- Assist leadership with special projects and operational initiatives
Assessment Coordination
- Manage logistics for school assessments, including preparation, distribution, and collection of materials
- Coordinate schedules and resources for standardized testing
- Ensure testing procedures comply with regulations and guidelines
- Support data collection and reporting related to assessments
Event & Activity Coordination
- Assist in planning and executing school events, including assemblies, staff development, and extracurricular activities
- Coordinate logistics such as space setup, materials, and scheduling
Staff Support & Coordination
- Support onboarding and training of new staff related to operational systems
- Support with printing teacher materials weekly
- Provide guidance and support to staff on operational procedures
- Collaborate with team members to ensure smooth execution of school operations

EDUCATION/EXPERIENCE
- Associate degree or minimum of 60 credits required, bachelors preferred
- At least one year of experience in Operations, K-12 front office, or systems coordination
- Proficient in Microsoft and Google platforms
- Proficient to advanced in typing, electronic and oral communication, and customer service
- Prior experience working in schools and urban communities is preferred
- Bilingual in Spanish preferred
