JOB SUMMARY:
The Executive Assistant provides administrative service management and critical support to Executive Management. The role assists with a variety of duties throughout the company to help achieve the Company's business goals and objectives. This position requires a high level of integrity as the role is exposed to confidential and sensitive information and requires the ability to work both collaboratively and independently on tasks that are complex and highly sensitive in nature.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Manage schedules and correspondence.
- Coordinate meeting logistics and travel.
- Assist day-to-day office operations.
- Act as a liaison between management, other administrative staff, board members, associates, customers, business partners, consultants, and vendors
- Prepare meeting minutes.
- Assemble committee meeting materials and packages, including reports, presentations, and memorandums.
- Arrange meeting locations, facilities, refreshments, and conference equipment for meetings; following up on actions needed.
- Provide technical support to executives and directors before and during meetings, conference calls, audiovisual presentations.
- Prioritize executive functions, meetings, and time sensitive items.
- Draft letters and route correspondence and communications accordingly
- Anticipate in advance potential roadblocks, queries or scheduling needs to plan and resolve with executives, board of directors, and third parties as needed.
