We're looking for a highly organized, fast-paced Dispatcher who plays a critical role in delivering an exceptional customer experience.
Position Overview
The Dispatcher is the heartbeat of our daily operations. You'll be responsible for managing the dispatch board, maximizing efficiency, and ensuring our technicians are set up for success every day.
This role requires strong communication, quick decision-making, and the ability to juggle multiple priorities while staying flexible and responsive as priorities shift throughout the day. This position is Full-Time with an On-Call Rotation.
Key Responsibilities
Dispatch & Scheduling
* Manage and optimize the dispatch board to ensure maximum efficiency and productivity
* Keep schedules full by proactively managing open time slots
* Dispatch technicians based on skillset, availability, urgency, and location
* Actively manage and reduce drive time to improve overall operational efficiency
* Coordinate and schedule sold work (installations, repairs, and projects)
Technician Support & Communication
* Maintain consistent communication with technicians throughout the day
* Adjust schedules in real-time based on job progress, emergencies, and cancellations
* Support field teams to ensure smooth workflow and job completion
Customer Experience
* Assist with incoming customer calls when needed
* Maintain high-quality customer interactions with efficient call handling
* Resolve customer concerns quickly, professionally, and with care
Administrative & System Management
* Accurately document and update all job information in ServiceTitan
* Properly classify calls for reporting and operational tracking
* Order parts and materials as needed for upcoming jobs
* Process warranties in a timely and accurate manner
What We're Looking For
* Strong organizational and multitasking skills
* Ability to think critically and make decisions quickly
* Excellent communication skills (both with customers and internal teams)
* High attention to detail and accuracy
* Ability to adapt quickly and stay effective as priorities shift throughout the day
* Tech-savvy; experience with ServiceTitan or similar software is a plus
Schedule & Availability
* Full-time in office position
* Open availability required
* Participation in on-call rotation
Success Metrics
* Dispatch board efficiency and schedule fill rate
* Technician drive time optimization
* Call quality and customer satisfaction
* Accuracy of job documentation and system updates
