As a Sales Coordinator, you play a vital role behind the scenessupporting the Sales & Catering team and ensuring every detail is flawlessly executed. You are the organizational heartbeat of group business, helping transform inquiries into booked experiences and plans into unforgettable events. Your Mission Provide exceptional administrative and operational support to the Sales & Catering Department, ensuring accuracy, organization, and seamless coordination that allows our sales team and clients to succeed. What You'll Do Group & Reservation Support Build and manage group room blocks in Opera Enter group rooming lists and individual reservations as needed Ensure all billing information for reservations, groups, and Master Accounts is accurate and complete Sales Administration & Systems Utilize SFA to accurately track accounts, bookings, and follow-ups Maintain Data Quality Index standards within SFA Enter and update client and account information Create and distribute proposals, resumes, agreements, and Banquet Event Orders (BEOs) Develop catering and banquet sales tools to support the sales process Client Communication & Event Coordination Send sales correspondence, rooming lists, and BEOs to clients as requested Respond to client requests with professionalism and urgency Assist with site visits and walkthroughs to finalize event details Support event preparation and execution, including on-site coordination when required Serve as a point of contact for clients during events, assisting with last-minute needs Coordinate with vendors and internal teams to ensure flawless execution Collaboration & Continuous Improvement Liaise with hotel departments to ensure client expectations are met or exceeded Actively participate in weekly BEO meetings with the Banquet Team Communicate changes, additions, or updates to culinary and operational teams Provide post-event recaps, operational insights, and improvement suggestions Engage clients in conversations about future events and re-booking opportunities Additional Responsibilities Perform other duties as assigned by the Director of Sales & Catering or Director of Operations Represent the brand with professionalism, warmth, and confidence in all interactions Deliver an exceptional level of service at every touchpoint You're a Great Fit If You Have a true passion for hospitality and service excellence Thrive in a fast-paced, detail-driven environment Communicate clearly and professionally
