As you become more familiar with our setup, you will take on increasing responsibility for maintaining and improving key systems such as HubSpot and Shopify, as well as supporting wider business tools. You will play an active role in improving how systems and processes work across the business, while continuing to contribute to day-to-day operations where needed.
We are looking for someone who is comfortable working in a similar type of environment and can get up to speed as they become familiar with how our systems operate. 4. What We Are Looking For
We are looking for someone with a solid hands-on IT and systems background who is comfortable working independently and able to contribute early while building familiarity with our setup.
This role is best suited to someone who has experience working with business systems and is comfortable learning new tools with some guidance while becoming confident in them over time.
Experience with CRM systems is particularly important for this role.
If you have used tools that are similar but not identical to ours, that is absolutely fine. We will help you bridge the gap.
Core Requirements
You should have experience across several of the areas below, particularly the core systems we rely on. While we do not expect experience in every area, a solid foundation in key areas is important for this role.
· Experience working with CRM platforms such as HubSpot, Salesforce, or similar
· Experience working with business systems in a practical environment
· Understanding of data structure, data quality, and process improvement
· Experience with workflows, automation, or system configuration
· Ability to work independently and solve problems with minimal guidance
Experience
· Three to five years of experience in an IT support, systems administration, or technical operations role
· Experience working with business systems in a practical environment
· Evidence of picking up new tools or systems and applying them in a real-world setting
What Will Set You Apart
Strong candidates for this role:
· Have experience contributing to improvements in systems or processes, not just supporting them
· Take an interest in how systems work and look for ways they could be improved
· Be comfortable balancing day-to-day support work with other technical responsibilities
· Be able to work through problems independently while recognising when to ask for input
In this role, you will be expected to:
· Take ownership of key systems, particularly HubSpot, and ensure they are structured, reliable, and used effectively
· Identify gaps or inefficiencies in systems and processes, and implement practical improvements
· Work independently with minimal direction, managing your own workload and priorities
· Bring structure and consistency to how systems, data, and processes are used across the business
· Move tasks and projects forward without needing constant coordination or oversight
What success looks like in the first 90 days
· HubSpot data is more structured, consistent, and reliable across contacts, companies, and deals
· Key business processes are documented and easier for the team to follow
· Initial improvements have been made to workflows, automation, or system setup
· The internal knowledge base is clearer, more organised, and actively used by the team
· Repeated questions and confusion around systems and processes have started to reduce
· You are confident working across our core systems and contributing independently
Helpful extras, nice to have but not required
· AI content tools for creating or improving website content, product descriptions or marketing materials.
· Theme or template code, such as Shopify Liquid, HTML, CSS or similar on other platforms.
· Domain and DNS management, including DNS records, SSL certificates and registrar administration.
· Chatbots or AI assistants, for example, tools like HubSpot Breeze AI.
· Data enrichment tools such as Apollo, ZoomInfo, Cognism or similar platforms.
· Zoho or comparable support or operations tools.
· Web analytics tools such as Google Analytics and Google Search Console.
5. Who You Are
Beyond skills and experience, here’s the kind of person who will thrive in this role:
· Can‑do attitude: You look for solutions, not excuses, and you’re happy to roll up your sleeves and figure things out.
· Takes ownership: You follow tasks through to completion and keep people updated on progress.
· Problem solver: You think logically, dig into issues, and work out the root cause instead of waiting for instructions.
· Comfortable solo or in a team: You can focus and deliver on your own, and you also enjoy collaborating with colleagues across the business.
· Agile and adaptable: When priorities change, you stay calm, reprioritise, and keep things moving in the right direction.
· Detail‑driven: You spot the small issues others miss, whether it’s a missing field, a broken link, or a layout that doesn’t look right on mobile.
· Strong communicator: You can explain technical topics clearly to non‑technical people, without jargon or making anyone feel talked down to.
· Curious about AI: You’re keen to experiment with AI tools to work smarter and improve processes, even if you’re not an AI specialist.
· Reliable: You do what you say you’ll do, meet commitments, and people know they can depend on you.
