The Site Administrative Assistant manages all on-site administrative tasks and assists the project manager and the project management team. In addition to their regular duties, they provide support with training, onboarding, job assignments, performance management, and system support (CMiC and HCSS).
This role is based on construction site on a full-time basis.

• High school or college diploma in secretarial or office administration;
• 2 to 5 years of experience in similar roles
• Knowledge of the construction industry, an asset;
• Excellent command of Office Suite;
• Advanced proficiency in spoken and written French;
• Intermediate proficiency in spoken and written English to interact with suppliers and colleagues at the national level. Must be able to draft communications and review documents in English;
• High geographic mobility;
• Valid driver's license;
• Ability to work in a team and communicate both orally and in writing;
• Autonomy, discretion, and strong administrative rigor.
What you will do to successfully accomplish this mission:
• Manage all administrative correspondence related to the management of a construction project;
• Process the hiring form, forward it to the payroll department, and enter the information into the tree structure;
• Track and process workers' timesheets;
• Be responsible for the hiring compliance program in each province and verify that each subcontractor complies with the requirements before work begins;
• Assist the project manager and project engineer in drafting contracts, as well as entering and tracking data in the management software;
• Record and file all contractual communications and transmissions;
• Ensure that meeting minutes are uploaded to the management software;
• Ensure that project files are archived;
• Validate that quality requirements are included in the subcontractor or supplier contract;
• Ensure that the administrative plan is implemented on the construction site;
• Perform any other related tasks
