Job Overview: The Project Coordinator for the Modernization Program Governance and Controls Workstream supports the effective oversight, compliance, and operational discipline of program activities. This role ensures alignment with Project Management Office (PMO) standards and regulatory requirements, maintains accurate project data and documentation, administers project management tools, and provides ongoing support to project managers and program leadership. The coordinator contributes to high-quality governance by conducting detailed analyses, providing structured reporting, ensuring adherence to processes, and providing strong organizational support. Job Duties: Standards Validation and Compliance: Validate program adherence to PMO standards, methodologies, and governance expectations. Assess compliance with Florida Administrative Code Rule 60GG-2 by evaluating and auditing project management processes, templates, and standards across the program. Document non-compliance findings, recommend corrective actions, and support follow-up actions. Metrics, Reporting, and Analysis: Compile, track, and analyze program and project metrics, including performance outcomes, cost data, service levels, and process adherence. Prepare reports and dashboards that communicate trends, insights, and recommendations to program leadership. Support continuous improvement efforts using data-driven observations. Project Coordination and Support: Serve as a resource for project and program managers by providing guidance on project management best practices, documentation standards, and process improvements. Assist in preparing program materials, schedules, action logs, and support documentation needed for governance meetings or leadership reviews. Help ensure consistent application of Project Management Body of Knowledge (PMBOK)-aligned project management practices across the workstream. Administrative and Documentation Support: Provide administrative and logistical assistance to project managers and program leaders, including documentation preparation, meeting coordination, and recordkeeping. Support the creation, tracking, and publishing of program artifacts, ensuring accuracy and timely availability. Project Controls and Data Integration: Ensure project control mechanisms are in place, including tracking of scope, schedule, risks, issues, and dependencies. Integrate project-level data into centralized repositories or dashboards to support program decision-making. Maintain quality and accuracy of program data across systems. Tool and Platform Administration: Administer and maintain project management tools and software (e.g., Smartsheet) used across the program. Create and maintain templates, workflows, dashboards, and automated reporting features. Provide end-user support and help troubleshoot tool-related issues. Documentation and Knowledge Management: Organize, maintain, version, and publish project-related documentation across platforms such as shared drives, SharePoint, or document management systems. Ensure documentation structure, naming conventions, and access rights follow PMO standards. Support knowledge transfer efforts across the program team. Project Management Knowledge and Best Practices: Apply knowledge of project management tools, methods, standards, and best practices, including PMBOK-aligned guidelines. Stay informed about changes in PMO processes or state requirements and help update program documentation accordingly. Promote consistency, quality, and compliance across all project coordination activities. Required Qualifications: A minimum of three (3) years of experience supporting successful, large-scale projects with multiple diverse teams. A minimum of three (3) years of experience using project management software (Microsoft Project, Primavera, and Jira) to track and manage projects. Experience in creating and presenting status reports to internal and external stakeholders. Ability to coordinate project teams, lead complex projects, and meet objectives. Demonstrated leadership and negotiation skills. Strong communication skills, both written and oral, to engage stakeholders at all levels. Preferred Qualifications: Experience in change management methodologies, strategies, and implementation. Experience with project management methodologies and documentation. Experience in risk and issue management. Experience facilitating meetings and developing clear documentation. Experience managing state government projects and knowledge of Rule 60GG-1, F.A.C. Ability to demonstrate a take-charge, can-do attitude with the initiative to solve complex problems. Knowledge of IT standards in a criminal justice environment. Skills in negotiation, mediation, facilitation, and team building. Team player attitude with a high-energy level and diligent work ethic. Proficiency with ServiceNow and DocuSign. xywuqvp Education: A bachelor’s or master’s degree from an accredited college or university in Computer Science, Information Systems, or other related field, or four (4) years of equivalent work experience is required.
