Role OverviewThe Deputy Bed Manager supports the Bed Manager in overseeing the effective and efficient management of bed capacity across Orwell Private and Orwell Queen of Peace. The role ensures the safe, timely, and appropriate admission, transfer, and discharge of residents, while maintaining optimal bed utilisation in line with clinical priorities and operational requirements.
This is a leadership role that requires people management skills, excellent attention to detail and the ability to execute and follow through on projects. The role ensures all bed management processes comply with Orwell Healthcare policies and procedures and in full compliance with HIQA standards.

- To attend to mandatory training and keep up to date with Orwell Healthcare’s policies, procedures and Statement of Purpose.
- Supervise the reception team to maintain high standards of performance and exceptional service quality, over two locations
- Deputise for the Hospitality and Bed Manager when required
- Manage all aspects of reception including telephone, emails, visitors and general enquiries
- Oversee the rosters for the reception staff ensuring that the reception is covered seven days a week, including bank holidays
- Assist with the weekly bed management meetings with the most up to date figures on occupancy planned PAA’s, admissions & discharges
- Oversee resident’s convalescent daily billing and receipts processes in conjunction with the finance department
- Plan and carry out regular audits on key quality indicators in reception to include sales and marketing of bed management
- Demonstrate competency in planning and managing resources, communication skills, integration skills and people management skills.
- Direct and active participation in service planning, implementation, evaluation and in overall resource management, including continuous quality audit and performance measures specific to the administration function
- Assist with consistently ensuring that all beds are occupied.
- Oversee and schedule viewings in conjunction with the reception staff and follow up as necessary.
- Work effectively with consultants, hospital bed managers, senior nursing and other senior clinical staff in public and private hospitals within the catchment area to send patient referrals for long term and short-term residents.
- Assist with the weekly bed management meetings with the most up to date figures on occupancy planned PAA’s, admissions & discharges in the absence of Hospitality/Bed Manager
- Oversee resident’s convalescent, daily billing and receipts processes in conjunction with the finance department
- Management of the admissions process, including resident contract signing
- Regular audit of the viewing procedures with all reception staff and follow up training of reception staff, based on the audit outcomes.
- Assist with VIP treatment in Orwell Private and Orwell Queen of Peace when requested, including liaison with the Directors regarding inquiries.
- Assist with weekly documented walkarounds in all units and the grounds of the building, log and liaise with relevant departments regarding improvements/repairs needed. Follow up to ensure completion within an agreed timeframe.

Experience:
- Experience in a 5-star hotel front office or similar high-end hospitality or healthcare environment: 2+ years (required)
- Exceptional communication skills and ability to maintain a calm disposition in all situations
- Proven track record in managing and motivating a team to achieve outstanding results
- Demonstrate expertise in performance management and training
- Strong organisational skills and ability to thrive in a fast-paced, dynamic environment
