Rebuilding Together Greater Florida (RTGFL) is a mission-driven nonprofit repairing homes, revitalizing communities, and rebuilding lives.

Across our service area, we help low-income homeowners access critical repairs, improve accessibility, and recover from disasters so they can live safely and independently.

We are looking for an
Intake & Client Relations Assistant who will play a key role in making that happen.

This is more than an administrative position.
You will be the first voice homeowners hear when they reach out for help, and the person who helps guide them through what can often be an overwhelming process.

Position Overview

The Intake & Client Relations Assistant supports homeowners from first contact through project completion, ensuring a responsive, respectful, and well-coordinated experience.

You will guide applicants through the intake process, collect and verify documentation, coordinate next steps, and maintain accurate records that support program and grant requirements.

This position:

  • Reports to the Program Manager
  • Works closely with the Intake & Client Relations Manager to ensure consistency across districts


Key Responsibilities

Client Intake & Support

  • Serve as the primary point of contact for homeowners throughout the process
  • Review applications, verify documentation, and conduct phone assessments
  • Clearly communicate program requirements, expectations, and next steps
  • Ensure all required documents are completed at project start and closeout

Scheduling & Coordination

  • Schedule site visits with project managers and field staff
  • Coordinate with partners and community organizations for referrals
  • Support volunteer coordination and community event logistics as needed

Compliance & Documentation

  • Maintain accurate client records in Salesforce and internal systems
  • Ensure compliance with grant and program requirements
  • Assist with identifying target populations for outreach and funding opportunities

Administrative Support

  • Answer phones, return calls, and provide professional communication
  • Support daily office operations and Program Manager needs
  • Track project progress, client status, and follow-ups

Collaboration & Consistency

  • Work with the Intake & Client Relations Manager to standardize processes
  • Participate in team check-ins, trainings, and updates
  • Help maintain consistency in communication and documentation across districts


What Your Day Might Look Like

  • Starting your morning by checking messages from homeowners seeking assistance
  • Speaking with a client who needs help understanding the application process
  • Reviewing documentation to confirm eligibility for a repair program
  • Coordinating a site visit with a project manager or construction team
  • Following up with a homeowner to walk them through next steps
  • Updating client records and ensuring all documentation is complete and compliant
  • Supporting a community outreach event or helping prepare for volunteer activities
  • Participate in outreach efforts in the community, which may include direct engagement with residents to raise awareness of available programs


Qualifications

  • Strong customer service and communication skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Comfortable working with diverse populations
  • Proficient in Microsoft Office and web-based systems (Salesforce preferred)
  • Familiarity with community programs or housing services is a plus
  • Bachelors degree or equivalent experience
  • Valid drivers license and reliable transportation
  • Flexibility for occasional evenings or weekends
