Administrative Support Specialist
Provide administrative support to the special markets team to ensure timely generation and delivery of proposals. Prepare and submit onboarding documents to the transition services team, generate reports, and handle associated recordkeeping. Responsibilities
Monitor the Request for Proposal (RFP) mailbox to ensure requests are fulfilled by the team within service level guidelines. Collect, review, and store post-sale documents and initiate follow up to obtain outstanding data. Submit post-sale/onboarding documents to Transition Services after obtaining required information. Submit required documents for new business to Transition Services. Produce and distribute reports, including pipeline report, weekly plan status report, custom weekly status report by RVP, special markets month end report, Transamerica Agency Network fee schedule addendums, RFP tracking reports, etc. Maintain contact information in various systems for financial advisors. Update opportunity status in Salesforce system as plans are submitted to Transition Services. Participate in special projects as needed. Qualifications
High school education or equivalent One year of clerical experience, preferably in an office environment Strong administrative skills and attention to detail to review and document incoming and outgoing proposal information Excellent communication and interpersonal skills to interact with internal and external contacts Strong organizational skills to track a high volume of plans in various stages Ability to work in a fast-paced, deadline driven environment Proficiency using MS Office tools (Outlook, Word, Excel) Willingness to complete ASPPA Retirement Plan Fundamentals course Preferred Qualifications
Knowledge of the financial services/retirement industry Knowledge of Salesforce.com Working Conditions
