Applications & Submissions Associate
The Applications & Submissions Associate reports to the Applications & Submissions Supervisor and supports the Operations Team under the direction of the Director of Operations. This role serves a key administrative function, managing a small caseload of Participants matched to apartments while supporting Operations Specialists in their day-to-day work. Core responsibilities include compiling and submitting tenant packages, ensuring timely procurement and generation of required documents, managing the team voicemail and shared email inboxes, and facilitating smooth transitions to Aftercare Specialists. This role is ideal for someone with proven administrative or operations experience who is eager to apply their skills in a mission-driven environment. The ideal candidate is detail-oriented, highly organized, collaborative, and motivated by Anthos|Home's mission to support housing stability. Key Responsibilities
Assist in preparing and assembling housing subsidy application packets and related materials Review applications and documents for completeness and consistency; flag missing or unclear items for Specialists Upload, label, and maintain accurate, confidential records in Salesforce and internal systems Track application statuses, deadlines, and outstanding items to ensure timely submissions Provide day-to-day administrative and logistical support to Applications & Submissions Specialists Organize incoming documentation from brokers, landlords, participants, and internal teams Coordinate scheduling related to inspections, submissions, and follow-ups Prepare files and materials for internal quality assurance reviews Maintain organized records in compliance with agency and internal requirements Assist with reporting and tracking related to submissions, approvals, and resubmissions Identify recurring documentation issues and escalate appropriately Contribute to process documentation and workflow improvements as directed Communicate professionally with internal teams and external partners as needed Serve as a first point of contact by answering incoming phone calls and emails, addressing basic inquiries, and directing complex questions to appropriate team members Uphold a high standard of confidentiality, accuracy, and participant-centered service Support additional team priorities and projects as assigned Qualifications
Proven experience in administrative, operations, housing, social services, or a related support role Demonstrated ability to manage detailed documentation, records, or data in a confidential setting Strong organizational skills with the ability to manage multiple tasks and deadlines Strong written and verbal communication skills, with demonstrated experience managing high-volume inbound calls in a customer service environment Interest in housing stability, social justice, or nonprofit operations Willingness and ability to learn housing subsidy programs, systems, and compliance requirements Experience in regulated or compliance-driven environments is a plus Lived experience related to housing instability is welcomed and valued Required Skills & Attributes
High attention to detail and accuracy Strong time management and follow-through Comfort learning new systems and workflows (Salesforce or CRM experience a plus) Proficiency with Microsoft Word, Excel, and Adobe, including data entry, document management, and basic data tracking Bilingual in Spanish and English required Collaborative, dependable, and proactive working style Alignment with Anthos|Home's mission and values Compensation & Benefits
Competitive salary: $57,000 - $60,000/ year, commensurate on experience Hybrid work environment (2-5 days in office/field per week) This role requires flexibility to work evenings and weekends as needed.
