Office Manager, Information Technology

Preferred work schedule: Monday‑Friday, 9:00 a.m. to 5:00 p.m. (4‑1 hybrid schedule).
Responsibilities
Establish procurement procedures in line with HCZ policies to manage department office supply needs and org‑wide hardware/software purchases.
Reconcile invoices for the department and org‑wide billing for IT‑related services.
Support IT staff with procurement and deliver effective training on processes.
Ordering of maintenance and office supplies for the assigned location and bulk purchases of IT equipment for the organization.
Ensure that orders received are tracked and accounted for.
Coordinate equipment transport and deployment.
Manage relationships with relevant external partners, including building management, vendors, catering, storage, etc., and serve as a liaison between techs and vendors when necessary.
Collaborate with HR, the Managing Director of IT, and department leadership to assist with IT talent acquisition.
Collaborate with department leadership to plan in‑house or off‑site activities, such as trainings, conferences, team building, etc.
Produce and create regular reports for the Managing Director.
Manage administrative and office supply spending to ensure purchases stay within budget and identify opportunities for cost savings.
Greet IT office visitors, assess their needs, and provide assistance when possible or escalated to the appropriate team members.
Complete other tasks and special projects as requested.
Qualifications
Bachelor’s Degree.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
Highly organized and efficient.
Excellent customer service and interpersonal skills.
Excellent written and interpersonal communication skills.
Detail‑oriented, with strong problem‑solving and decision‑making skills.
Strong work ethic, with the ability to multi‑task in a fast‑paced environment.
Excellent judgment and discretion regarding sensitive and/or confidential information.
Familiarity with information technology terminology.

The salary range for this position is $60,000 per year.
