Title: Compact Sales Assistant
Reports To: Compact Sales Coordinator
FLSA Status: Non-Exempt
Hybrid (4 days in-office, 1 day remote) following a 90-day probationary period
Position Purpose The Compact Sales Assistant manages the billing and assists in purchasing duties for compact equipment sales and rentals. This role ensures accurate, timely invoicing, inventory management, and reconciliation while fostering strong customer relationships.
Essential Job Functions
Create invoices for equipment sales to customers.
Create rental invoicing schedules in a timely manner.
Maintain accurate records of rental returns and ensure they are processed promptly.
Prepare rental conversion payoffs for the sales team to provide to customers.
Coordinate with supervisor, territory managers, and sales manager regarding paperwork needed, missing information, and other requirements.
Work with the sales team to contact customers regarding outstanding balances and work to resolve any billing disputes or discrepancies.
Inventory Management Responsibilities
Assist in compact inventory purchasing duties, including creating vendor purchase orders and coding/approving vendor invoices.
Assist in managing incoming and outgoing inventory status of compact equipment.
Assist in customer stock equipment set up.
Customer Relations & Communication
Maintain strong relationships with customers through consistent communication.
Address customer inquiries, concerns, and resolve any billing issues professionally.
Ensure timely communication with the sales team and management to address customer needs effectively.
Perform additional miscellaneous administrative tasks as necessary.
Education and/or Experience
High School Diploma Required.
Prior heavy equipment dealership industry experience preferred.
Must have working knowledge of Microsoft Outlook, Word, Excel, and Adobe PDF editing.
Excellent customer service skills and a commitment to resolving issues efficiently.
Strong organizational skills and attention to detail, with the ability to follow up on tasks and meet deadlines.
Demonstrated ability to multi-task and manage competing priorities.
Ability to work independently while collaborating with the team as needed.
Physical Demands
Standing, walking, talking, sitting, and use of hands.
This job mostly involves sitting or standing, but there may be occasional tasks that involve lifting or moving objects weighing up to 25 pounds.
Computer Skills
To perform this job successfully, an individual must be proficient utilizing computers including Microsoft Windows, Microsoft Office Suite, Microsoft Internet Explorer and general laptop or desktop computer use.
Certificates, Licenses, Registrations
Must have a valid Driver’s License to operate company vehicles.
The selected candidate is subject to a pre-employment drug screen, background check including MVR and drug screen.
