Your mission should you accept it:
Reporting to the Director of Operational Excellence, Quality and Environment, the Administrative Coordinator is responsible for standardizing administrative processes for all construction sites in Quebec. He/she contributes to supporting the training and integration of the Administrative Assistant while providing ongoing support for process improvement.

- College diploma in administrative or office automation technology or any other relevant equivalent training;
- Minimum of 5 years of experience in an administrative role;
- Demonstrated experience in process standardization, continuous improvement and multi-site administrative coordination (important asset);
- Excellent command of Microsoft 365 tools (SharePoint, Excel, Teams, Outlook);
- Experience with Procore, HCSS, CMiC and Textura software;
- Advanced command of French, oral and written;
- Advanced knowledge of English required to communicate daily with colleagues located outside Quebec. Must participate in coordination meetings with English-speaking stakeholders. with our partners. Must also be able to write papers and edit documents in English;
- Good understanding of site administrative processes;
- Ability to manage multiple priorities while maintaining a high level of rigor.
What you will do to complete this mission successfully:
- Ensures the standardization of administrative processes (document management, payroll, systems, etc.) on all sites;
- Participates in the recruitment process for Administrative assistants;
- Participates in the development and implementation of training plans as well as the integration of site Administrative Assistants;
- Coordinates access to systems and platforms (Procore, HCSS, CMiC, Textura, Evolution, etc.) etc.) and serves as the primary contact for the use of the systems;
- Collaborates in optimizing the use of administrative systems on all sites;
- Provides hands-on support for CMIC/HCSS/PROCORE training and all other related systems and platforms;

-Project Opening and Closing
-Payroll - Conducts periodic audits on document management and administrative processes, and proposes corrective actions as needed.
- Ensures administrative coverage of projects when needed (leave, absences, etc.) and ensures that there is no interruption in services and administrative processes during this period (billing processing, timesheets, payroll, etc.);
- Supports all assistants on construction sites in Quebec and assists them during busier periods.
Participates in the annual performance management process of Site Administrative Assistant, in collaboration with the project manager.
