Overview
We are seeking a highly organized and detail-oriented individual to join our dynamic team. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. This role involves daily office operations, supporting staff and clients, and ensuring a smooth workflow within a professional environment. Experience with software such as QuickBooks, Microsoft Office, and Google Workspace is highly valued. Bilingual skills are a plus to effectively serve diverse clients and team members. Sales and Operations support will play a key role in maintaining efficient office procedures, providing exceptional customer service, and supporting overall organizational success.
Responsibilities
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
- Oversee calendar management and appointment scheduling for staff and executives
- Handle bookkeeping tasks using QuickBooks and assist with basic bookkeeping responsibilities
- Provide customer support via phone, email, or in person, maintaining excellent phone etiquette and customer service standards
- Maintain organized records of client information, billing details, and other sensitive data

Experience
- Prior office management or administrative experience preferred; experience in medical or dental reception is a plus
- Proficiency with QuickBooks, Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills required
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills both written and verbal; bilingual abilities are advantageous
- Demonstrated ability to handle clerical tasks such as proofreading, filing, and maintaining accurate records
- Experience with multi-line phone systems, calendar management, bookkeeping, and customer service roles preferred
- Familiarity with office equipment including printers, scanners, and fax machines is beneficial
