ROLE PURPOSE The sales Coordinator is the organisational backbone of the Aethos sales team ensuring every sales enquiry, proposal, and client interaction is handled with professionalism, warmth, and precision. Working closely with the Director of Sales and Marketing and Group & Events sales manager, this role supports the full sales journey, from initial enquiry through to booking confirmation and departmental handover. The ideal candidate brings strong administrative ability, a genuine passion for hospitality, and a natural flair for building client relationships. KEY RESPONSIBILITIES Sales Administration & Enquiry Handling Respond to all inbound sales enquiries, including room hire, group accommodation, corporate accounts, and events in a timely, professional, and brand-aligned manner. Prepare tailored proposals, quotations, and contracts for prospective clients, ensuring accuracy and alignment with current rates and packages. Maintain and update the sales management system (CRM/PMS), ensuring all leads, accounts, and pipeline activity are accurately recorded and tracked. Support the preparation and distribution of sales collateral, presentations, and promotional materials. Coordinate site visits and client show-rounds, ensuring a seamless and memorable experience that reflects the Aethos brand. Group & Corporate Bookings Manage the coordination of group bedroom bookings, including rooming lists, rooming changes, deposit schedules, and final account settlements. Liaise with the Front Office, Food & Beverage, and Events teams to ensure all group requirements are accurately communicated and executed. Assist in the development and maintenance of corporate account relationships, supporting rate negotiations and account renewals as directed. Track and report on group and corporate booking performance against targets, flagging any variances or opportunities to the Director of Sales. Revenue & Reporting Support Assist in the preparation of weekly and monthly sales reports, including lead conversion rates, pipeline summaries, and account production data. Support the Sales team in monitoring competitor activity, market trends, and demand patterns to inform commercial strategy. Assist with the coordination of promotional campaigns, packages, and special offers across relevant channels. Client Relationship Management Build and maintain positive relationships with existing and prospective clients, acting as a warm and knowledgeable point of contact throughout the sales journey. Follow up on all proposals and outstanding enquiries in a timely and proactive manner, ensuring no opportunity is missed. Support client retention initiatives, including thank-you communications, post-stay follow-ups, and loyalty touchpoints. Represent Aethos professionally in all written and verbal communications, embodying the brand's values of authenticity, warmth, and genuine care. Cross-Departmental Collaboration Work closely with the Reservations, Events, and Front Office teams to ensure seamless handovers and consistent guest and client experiences. Participate in weekly commercial meetings, contributing relevant sales updates, activity trackers, and client feedback. Support the onboarding of new corporate accounts, ensuring all relevant departments are briefed and set up for success.
