THE OPPORTUNITY

We’re looking for a highly organized and professional Administrative Associate to help keep our office running smoothly and create an exceptional front-line experience for our customers.


This role is ideal for someone who thrives in a fast-paced environment, enjoys supporting multiple teams, and takes pride in organization, service, and operational excellence.


KEY RESPONSBILITIES

Reception & Frontline Communication

  • Answer, screen, and route incoming calls professionally and promptly.
  • Greet and direct visitors, vendors, and guests.
  • Ensure meeting rooms are prepared and presentable for internal and external meetings.
  • Maintain a professional and welcoming front-office environment.


Office Operations & Facilities Coordination

  • Manage incoming and outgoing mail, courier shipments, and deliveries.
  • Maintain office supply, snack, and shared resource inventory.
  • Support day-to-day office flow, including visitor coordination and meeting room scheduling.
  • Coordinate with vendors as needed for routine office services.


Document & Information Management

  • Maintain digital filing structures, naming standards, and document organization.
  • Support document cleanup, archiving, and shared file maintenance.
  • Assist teams in locating and maintaining accurate shared resources.


Administrative & Team Support

  • Support research, vendor coordination, and internal administrative initiatives.
  • Draft basic internal communications, templates, and correspondence.
  • Coordinate small office events, lunches, and meeting logistics.
  • Support onboarding preparation, including workspace setup and welcome materials.


POSITION REQUIREMENTS

Education & Experience

  • 2–5 years administrative or office coordination experience preferred
  • Experience in a manufacturing, industrial, or professional services environment considered an asset
  • Strong Microsoft Office / Teams / SharePoint skills
  • Experience supporting multiple departments or leadership teams preferred
