ABOUT THE ROLE
We’re looking for a highly organized and dependable Operations & Systems Coordinator to support day-to-day business operations.
You’ll be the person who keeps our internal systems clean, our spreadsheets accurate, and our customer coordination smooth.
This is not a bookkeeping role. It is not heavy finance.
It is execution, organization, and systems ownership.
WHAT YOU’LL DO
Spreadsheets & Tracking
- Maintain and update Google Sheets used for customer tracking and internal workflows
- Ensure data accuracy and consistency
- Run basic filters, pivots, and lookups
- Flag discrepancies early
Admin & Coordination
- Process contracts and plan changes
- Keep CRM and internal systems up to date
- Manage onboarding/offboarding checklists
- Track deadlines and ensure tasks are completed
Systems & Tools
- Maintain CRM hygiene (HubSpot)
- Support light automations (Zapier, ClickUp)
- Monitor dashboards and flag issues
- Coordinate between teams when something needs attention
Customer Communication
- Respond to operational questions in Slack
- Route issues to the right internal owner
- Follow up to ensure resolution
- Support webinar coordination and reminders
WHAT SUCCESS LOOKS LIKE
Within 90 days:
- Our tracking sheets are clean and reliable
- Internal systems reflect accurate, up-to-date information
- Slack messages are handled quickly and clearly
- Deadlines don’t slip
- Small operational issues are caught early
WHAT WE’RE LOOKING FOR
- 1–4 years in operations, admin, customer ops, or coordinator roles
- Strong Google Sheets skills
- High attention to detail
- Clear, professional written communication
- Strong follow-through
- Comfortable working in structured systems
Startup experience is a plus, but not required.
COMPENSATION
~$55,000 - 70,000 CAD
- Small equity position available
