Branch Manager Contents

Position Summary Leaders do one thing—they lead. This role is responsible for overall branch performance, accountability, growth, and strict adherence to systems and processes. The Branch Manager sets the standard, reinforces discipline, and ensures the branch consistently achieves the company’s three core job goals through flawless execution of proven systems.

Branch Leadership & Management

As the Branch Manager, you are accountable for leading the branch and holding all team members accountable, including:

  • Full ownership of branch performance and all branch KPIs
  • Enforcing strict adherence to systems and processes
  • Oversight of people, processes, equipment, vehicles, maintenance, collections, supplies, and all operational aspects of the contents division
  • Acting as the standard bearer for discipline, execution, and accountability
  • Filling any open role within the branch (temporarily) due to resignation, termination, or vacancy to ensure continuity while the hiring team recruits a replacement

While no system is foolproof, these processes give the team the best chance at success. It is your responsibility to always reinforce and protect these disciplines.

Manager Key Accountabilities

  • Become a student of systems and processes
  • Ensure all Project Managers and team members follow the process without exception
  • Prevent shortcuts and process deviations that ultimately create failure
  • Reinforce habit-building and disciplined execution
  • Lead by example and hold the team accountable

Training

  • Master every aspect of the P2N claims process
  • Train new team members on all P2N systems and procedures
  • Support continuous improvement in training methods and platforms
  • Provide feedback and ideas for improving training effectiveness

PSA (Project & Accounting Software)

  • Become fully proficient in PSA
  • Ensure PSA is used correctly and consistently by the entire branch
  • Leverage PSA to manage jobs, finances, reporting, and accountability

Education & Professional Development

  • Actively pursue ongoing education related to the contents and restoration industry
  • Attend seminars, conferences, trainings, and review industry publications
  • Stay current on insurance restoration trends, standards, and best practices

Daily System Meeting & Job Management

The restoration industry is chaotic by nature.

  • Lead and oversee the Daily PSA System Meeting (Daily Alignment / Progress Meeting)
  • Ensure strict use of the Job Management Report (JMR)
  • Require daily job updates and notes from Project Managers
  • Ensure every job is “touched” daily and moved forward through the pipeline
  • Arrive early to prepare, lead, and ensure flawless execution of the meeting
  • Oversee systematic movement of jobs from “Received” through “Closed”
  • Prevent issues before they arise through proactive job management

Sales & Growth Responsibilities

  • Responsible for overall branch growth (15%–25% annually)
  • Oversee and manage the sales and estimating process
  • Maintain a minimum closing ratio of 75%
  • Coach and hold estimators accountable for closing work
  • Ensure the team understands they are selling—not just estimating
  • Protect company resources by ensuring approved estimates convert to jobs
  • Understand and be capable of performing every role within the branch

Oversight of Contents Project Managers

Project Managers report directly to the Branch Manager and are accountable for:

  • Managing contents pack-outs, cleaning, and pack-back projects
  • Creating work orders, scheduling jobs, and securing approvals
  • Coordinating with Team Coordinators on scheduling and collections
  • Maintaining relationships with adjusters, agents, customers, and vendors
  • Ensuring job site safety and OSHA compliance
  • Managing profit and loss for assigned projects
  • Perform collections of deductible and final
