About the role We are seeking a motivated and experienced to oversee our international payroll operations and manage relationships with external payroll providers. This role is responsible for delivering accurate, timely payroll across multiple countries, coordinating all payroll activities, and partnering with HR and Finance on annual processes and projects. You will also ensure compliance with reporting and regulatory requirements in each jurisdiction. The ideal candidate has 5+ years of payroll experience, enjoys a role with breadth and complexity, and is comfortable working autonomously while coordinating with local payroll bureaus. The position is critical to the business, involving multiple deadlines, cross-border operations, and interaction with small in‑country teams, HR, and Accounting. Exposure to foreign entities, varied compliance obligations, and diverse payroll norms is significant. Candidates should demonstrate a commitment to maintaining strong technical knowledge through ongoing learning, professional networks, and participation in industry groups. Key Responsibilities: Payroll Management responsibilities: * Process payroll monthly/bi-weekly by liaising with payroll bureaus (ADP) in around 17 countries. * Ensure accurate and timely processing of payroll/benefits including updates for new hires, terminations, and pay changes. * Manage the maintenance of employee records and up‑to‑date payroll information with HR, including all data changes for starters, leavers, job changes, deductions, and benefits. * Calculate wage increments, overtime payments, and public holiday pay. * Prepare payroll workings for each country and reconcile output from external payroll providers, identifying and correcting errors. * Proactively reach out to HR and line managers ahead of payroll submission to ensure all information is complete, including pre-payroll registrations with foreign bodies (e.g., social security). * Manage staff queries relating to pay, deductions, pensions, and commissions. * Oversee payroll taxes and social security payments in all countries, ensuring deadlines are always met and proof of payment is retained. * Manage monthly pension submissions and payments where applicable. * Coordinate filing of quarterly and statutory year‑end returns for all 13 countries. * Ensure compliance with local payroll taxes, employment laws, benefits in kind, and holiday regulations in collaboration with HR. * Conduct research and advise management on changes to local laws, rules, and benefits. * Manage benefits in kind reporting in all applicable countries (e.g., UK P11D and PSA). * Audit the payroll to ensure it meets all government regulations and compliance standards. Month End and other reporting requirements * Responsible for Month End tasks related to payroll including posting journals, review balance sheet Control accounts * Report consolidated global employee numbers, including country and department breakdowns. * Coordinate with Finance to ensure all payroll-related financial transactions are correctly posted; reconcile payroll accounts monthly across all countries. * Analyse payroll cost allocations monthly to ensure correct posting of salaries, benefits, taxes, and accruals to ledgers; validate balance sheet payroll assets/liabilities. * Prepare payroll reports required by auditors/tax advisors during yearend audits. * Produce ad‑hoc payroll reports as required by management. * Identify and recommend improvements to payroll processes and systems. * Develop and implement payroll policies and procedures to ensure clear guidance and compliance with local law. Essential Skills & Experience * A minimum of four years of experience in payroll processing * Proficient with Microsoft Excel * Experience managing external payroll providers and payroll platforms such as ADP * Thorough knowledge of payroll processes * International payroll experience in at least four countries would be preferred * Understanding of book-keeping (preferable)
