Position Summary
The Logistics Manager leads operational planning and execution for Welfare Avenue's volunteering events, ensuring each event is set up for success and runs smoothly. This role is responsible for leading the logistics/operations team, making sure all event-critical tasks are completed on time, and ensuring every event has a complete, accurate itinerary prepared and distributed to volunteers.
While volunteer outreach, confirmations, and day-to-day communications are handled by the Operations Coordinators and Assistants, the Logistics Manager provides leadership, accountability, and structure—ensuring the team consistently delivers high-quality, well-executed events.
In addition, the Logistics Manager partners closely with the Program Development team to operationalize new programs and program improvements, ensuring plans are executed effectively, budgets are used responsibly, and grant commitments are delivered as intended. A major focus of the role is scaling Welfare Avenue's impact—growing from the current output (approximately 100 meals biweekly) toward weekly delivery, and eventually expanding across multiple locations in Montreal and the wider Quebec region.
Job Description
1) Team Leadership & Event Readiness (Primary Responsibility)
Lead the logistics/operations team to ensure every event is fully prepared and executed successfully.
Establish clear timelines, task ownership, and follow-through across the team.
Ensure all event-critical information is collected, accurate, and ready ahead of time (volunteer roster status, locations, timing, supplies, roles, and contingencies).
Ensure each event has a complete and finalized itinerary that enables smooth execution.
Identify operational gaps early and coordinate the team to resolve them before event day.
2) Event Itinerary & Logistics Planning
Create and send weekend itineraries to volunteers in advance, ensuring clarity on schedule, locations, roles, and expectations.
Maintain standardized itinerary formats and continuously improve them based on team feedback and lessons learned.
Oversee event setup needs (equipment, transport requirements, supplies, role coverage readiness) to support smooth on-the-ground execution.
Note: Volunteer coordination and communication tasks (e.g., confirming volunteers and managing group chats) are executed by Operations Coordinators and Assistants. The Logistics Manager is accountable for ensuring these tasks are completed properly and on time.
3) Operational Execution of Program Development Plans
Work directly with the Program Development team to execute new programs and enhancements operationally.
Translate program plans into clear operational workflows, resourcing plans, and execution timelines.
Ensure budgets (including grant-funded budgets) are utilized effectively, tracked appropriately, and aligned with intended outcomes.
Ensure grant-related commitments are implemented correctly and consistently, with strong operational oversight.
4) Growth & Scaling Impact
Drive operational improvements that increase efficiency, reliability, and repeatability of event execution.
Support scaling from biweekly to weekly programming through stronger systems, staffing plans, and execution routines.
Monitor operational performance and recommend adjustments that increase impact without compromising quality.
Requirements & Qualifications
Weekly Commitment of 6 hours (very flexible)
Ability to be occasionally hands on at program events (important to understand what you are running and how to improve it)
Currently enrolled in or a graduate of a CEGEP or university program in Logistics, Event Management, Non-Profit Management, or a related field.
Proven experience in operations/logistics coordination, team leadership, volunteer-based event execution, or event planning.
Strong leadership skills with the ability to drive accountability across a team.
Excellent organizational skills and attention to detail—able to manage multiple moving parts and deadlines.
Strong communication skills (written and verbal).
Proficiency with CRM and event management software.
Ability to work independently and as part of a team.
Flexibility to work weekends and evenings as required.
