Responsibilities
PRIMARY PURPOSE
Oversees and coordinates day-to-day administrative support to maintain and generate employee record-related information and reporting. Ensures accuracy and compliance with policies, procedures and collective agreement in all transaction processing and administration. Oversees efficient maintenance of the relevant HR system modules and leads system audits to ensure ongoing integrity of related information. Reviews all employee record administration processes and recommends/implements new efficiencies.
Key Accountabilities
Coordinates day-to-day administrative support to maintain and generate employee record information and reporting. Involves transactions and records related to salary administration such as annual merit increases, in-range salary adjustment, seniority and service records, and employee change of status.
Distributes and reviews administrative work, ensuring accuracy and compliance with policies, processes, collective agreements, and any related regulatory requirements.
Supports the team in leading and coordinating of the employee record components of the HR system, including all activities involved in the processing and storage of current, accurate information.
Recommends audits to maintain employee data integrity within the HRMS system
Reviews all employee record administration processes and proactively develops, recommends, and implements improvements to enhance operational efficiency.
Participates in projects and meetings, providing input and making recommendations from an employee records administration perspective.
Provides information and guidance on employee record administration processes, and resolves related issues with business leaders and employees while maintaining relationships.
First point of contact for the Employee Record Administrators in resolving higher level issues. Provide day-to-day guidance and training.
Qualifications
EDUCATION AND EXPEREINCE
The requirements for this job would typically be acquired through a Certificate in Human Resources and a three (3) years of experience in administrative or data entry roles, with a focus on maintaining employee records within an HRMS system- preferably in a unionized environment.
Other Requirements
Solid knowledge of the concepts, theories, principles and practices of human resources.
Solid knowledge of the relevant policies and provisions of the collective agreements, with ability to interpret and apply related language.
Solid communication and interpersonal skills to explain salary administration procedures, and exchange information and resolve employee records administrative matters.
Solid planning and organizational skills to coordinate distribution of work, and oversee accurate, timely processing of transactions.
Working knowledge of the relevant HR systems and modules to audit data integrity and create reports.
Solid knowledge of standard office tools including word processing and spreadsheet software, together with knowledge of database fundamentals and use of HR systems
Experience With PeopleSoft Is Preferred.

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

37.5 hours per week.

This position works predominately on-site.
Rate of Pay
The salary for this position ranges from $65,600 - $98,400 per annum. Actual salary offered will be based on education, experience, skills, and qualifications as they relate to the role.
