POSITION SUMMARY:
The Pre-Construction Coordinator will report directly to the Alternate Delivery Project Manager, with a significant emphasis on collaboration with the entire pre-construction team. The role primarily involves overseeing administrative and coordination duties throughout the entire design and validation phase of the project. The individual may also be involved with coordinating early construction works to either advance the design or expedite the construction schedule, ensuring smooth transitions from planning to execution.
This position will be located at our corporate head office in Morriston, ON for approximately 3 months (housing provided) and then transition to our Dalewood Water Reclamation Facility project in Courtright, ON.
Position Duties
Develop and nurture strong relationships with internal and external stakeholders to ensure optimal performance and a positive team environment
Complete administrative tasks (i.e. timesheets, expenses, site PO processing) and forward the paperwork to respective departments to ensure deadlines are met, and the administration of the project runs smoothly
Complete expense reports, pay invoices, and other monetary duties
Present a positive and professional image of the Company to all visitors, suppliers, inquiries, and other interactions
Create and maintain an effective central file system (including contracts, drawings POs, correspondence etc.) for the site to ensure documents can be easily retrieved
Coordinate any housing and utility set-up for project
Take, organize and store for easy access all project photos on a consistent basis
Provide support to Project Manager in both internal and external meetings (i.e.: Agenda, Minutes)
Coordinate and log all internal and external Request for Information's (RFI's)
Coordinate and log all Site Instructions and Addendum responses
Develop and foster relationships within the Design and Pre-Construction teams
Accountable for the preparation, distribution and submission of Article E documents to meet schedule requirements. Create and maintain an accurate and up-to-date Article E log
Source and develop relationships with local trades/suppliers/municipalities prior to commencing construction
Prepare sub-contract and Vendor award documents for required services – scope definition, contract documents; interface with sub-contract administration and service providers as required
Assist Project Superintendent with the mobilization and demobilization of site offices, furnishing, utilities, communications, etc
Assist Project Manager in coordinating any pre-construction work on site
Attend Tender meetings as required
Assist Project Analysts on solicitation for rental quotes
Assist Project Manager on cost tracking and project billing processes both with the client and subcontractors/vendors.
Maintain accurate and up-to-date cost reports. Assist the Project Manager in the quarterly financial forecast and cost projection reporting
Prepare job status reports and other reports as required for reporting to senior management
Support the Delivery team as required to maintain client relationships
Qualifications
Construction, Civil or Mechanical degree/diploma & 1-5 years of construction planning experience or an equivalent combination of technical training & experience. New graduates are also welcome to apply
Knowledge of various construction disciplines, safety regulations, scheduling, planning, cost control & engineering drawings.
Strong knowledge of general office procedures.
Experience with computer programs such as word processing, spreadsheets and e-mail Excellent written and verbal communication skills.
Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision.
High level of sound and independent judgment, reasoning, and discretion.
Ability to interpret and implement company policies and procedures.
Professional, responsive, and positive work attitude is essential.
Resourcefulness and flexibility.
Able to maintain filing systems and basic databases
Proficient in construction contract drawing and specification interpretation.
High level of initiative and keen interest in technical problem solving.
