As an Administrative Assistant within our Supply Planning & Trading (SP&T) team, you will work directly with the Vice President and General Manager and coordinate with various groups within the organization on various administrative duties to support our day-to-day. Your goal will be to prioritize and keep the team well organized with a large volume of requests and inquiries across the team. Your success will be highlighted through your ability to work collaboratively, communicate effectively, and deliver timely results.

Your Responsibilities
Manage daily calendar needs, including booking conference rooms and coordinating Microsoft Teams meetings, while monitoring recurring meeting constraints
Respond promptly to requests from the VP/GM, direct reports, and team members, ensuring follow‑up and completion of required actions
Facilitate weekly and monthly SP&T meeting setups, including team updates, planning sessions, financial reviews, and pricing meetings
Manage travel and training requests, tracking approvals and maintaining the team's travel/training spreadsheet
Process and maintain purchasing activities, including Oracle requisitions, legal POs, invoice receiving (Oracle & Inspyrus), and credit card statement support
Oversee administrative operations such as onboarding logistics, office supplies, PPE orders, copier issues, courier needs, and maintenance requests
Maintain team communications, distribution lists, vacation calendars, visitor coordination, and year‑end accrual submissions.
Support the team with maintaining accurate records as it relates to the overall budget.
Your Skills
Strong organizational and time‑management skills to coordinate recurring schedules, meetings, and multi‑frequency reporting
Proficiency with Office applications and enterprise systems including Microsoft Teams, SharePoint, Workday, Oracle, and Inspyrus
Ability to manage purchasing workflows, expense reconciliation, vendor coordination, and PO processes
Effective communication and stakeholder‑support skills to serve as the primary point of contact for the SP&T team and leadership
High attention to detail for document handling, financial tracking, reporting accuracy, and compliance with approval requirements
Your Experience
3-5 years of experience in an Administrative or related role
Post-secondary education in the field of business
Strong knowledge of MS office applications, particularly Excel and PowerPoint
Knowledge of Oracle, IQN and Inspyrus is considered an asset
Bilingualism is an asset: English and French
