Position Overview
We are looking for a reliable Virtual Assistant to work 10–15 hours per week to assist with scheduling, invoicing support, compliance tracking, document management, and administrative coordination.
This role will start part-time with potential for long-term growth.

Responsibilities
• Schedule preventive maintenance (PM) visits and inspections
• Send invoice follow-ups and payment reminders
• Organize and update spreadsheets (Google Sheets)
• Format and finalize service reports based on technician notes
• Assist with data entry for California Clean Truck Check / compliance tracking
• Maintain organized digital file systems
• Assist with email sorting and prioritization
• Coordinate parts follow-ups and vendor communication
• Help track BIT and CARB inspection due dates

Required Skills
• Strong written English communication
• High attention to detail
• Organized and process-driven
• Comfortable working in Google Workspace (Docs, Sheets, Gmail)
• Experience with invoicing or bookkeeping support preferred
• Ability to follow SOPs and improve processes
• Comfortable working independently

Preferred (But Not Required)
• Experience in fleet maintenance, construction, trucking, or automotive industries
• Familiarity with compliance documentation
• QuickBooks experience
• CRM experience

Work Details
• 10–15 hours per week to start
• Flexible hours (must overlap at least 2–3 hours with Pacific Time)
