Reporting to the Vice President, Lightspeed Systems Development, the Administrative Assistant will be responsible for the office of the VP Lightspeed System Development ("LSD Office") and Senior Directors, by providing reliable and professional assistance in the fulfillment of their responsibilities.
The incumbent will perform diversified administrative tasks that are complex and specialized in nature for the VP Lightspeed System Development, thereby requiring a broad knowledge of the organization's operations, policies, procedures and overall understanding for the role of an executive.
Main Responsibilities:- Responsible for supporting the LSD Office by managing their electronic calendars, meetings, screening phone calls, visitors, international travel arrangements and vacation requests and planning.
- Strategic management of VP's electronic calendar to balance vendor engagement and internal needs; including skip-level meetings and meetings with individual contributors
- Facilitate approvals and electronic signatures that require executive sign off on various documents
- Manage timesheets for the LSD Office
- Coordinate extensive meeting schedules for international conferences, vendor visits, design reviews, and Program Increment (PI) planning
- Solicit input from LSD Office to draft presentation material for Lightspeed Monthly Reviews, Lightspeed Executive Reviews, Telesat board updates, and periodic updates to government lenders as required
- Process LSD Office expense claims as and when required
- Manage catering needs and logistics of various meetings, workshops, vendor onsite visits, team-building events, and other high-level meetings for the LSD Office when needed.
- Budget input and coordination for LSD Office that included accrual & YEE input and coordination throughout the year.
- Process invoice payments as well as initiate several supplier contracts for the Executives using Workday
- Provide back-up support to the other members of the Executive Admin Assistant team, including EA to the President as and when needed.
- Bachelor's degree or diploma in a related field
- 10 years of experience as an Executive Assistant performing similar task as described above
- An understanding and appreciation for the role of Executive.
- Sound judgment, discretion, and adaptability in a dynamic environment.
- Strong interpersonal skills and ability to work effectively with diverse stakeholders.
- Proficiency with computer applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) including MS Teams and Zoom to prepare documents, power point presentations and excel spreadsheets
- Proficiency with AI tools such as Copilot
- Proficiency with expense tracking tools such as Concur and talent acquisition tools such as Lever
- Ability to juggle multiple priorities, issues and schedules to ensure deadlines are met.
- Knowledge of basic financial accounting processes and procedures; help drive budget planning and reviews for the different sub-organizations within the LSD Office.
- Excellent written and verbal communication skills.
- Superior interpersonal and customer service skills.
- Professionalism, proactiveness, respect for confidentiality, courtesy and discretion are required traits and skills.
