We're looking for an Administrative Assistant to join our Credit team at head office located in Vernon, British Columbia. Our head office houses Tolko's corporate services groups including Sales, Marketing & Logistics, Finance, Accounting & Credit, IT, Procurement, Human Resources, and Corporate Administration.
Our ideal candidate has the following qualifications:
Excellent time management, organizational, and communication skills (both oral and written).
Proven ability to excel at details, multi-tasking, and working under pressure with frequent interruptions.
Experienced in the use of software programs such as Outlook, MS Word, and Excel.
Capacity to manage sensitive and confidential information with integrity and discretion.
Experience using JDE, CHUBB, Dynamics, and TELUS IQ is an asset or an openness to learn new software.
In this role you will:
Provide administrative support to assigned teams and leaders.
Maintain and update administrative records, databases, and reports to ensure accuracy and accessibility.
Respond to employee and stakeholder administrative inquiries in a timely and professional manner.
support ongoing compliance with heat-treated wood certification requirements
Print, assemble, and distribute documentation and supporting paperwork for export documentation review.
Send trade and bank references to support customer credit applications and periodic credit reviews.
Pull and compile reports to assist with credit assessments and internal reviews.
Support tax exemption audits by coordinating with customers to obtain missing documentation and ensure compliance with regulatory requirements.
Perform other duties and tasks assigned to support the team and business operations.
Contribute to continuous improvement by streamlining administrative processes and recommending enhancements to workflows and office practices.
