Position Overview
The Store Development Coordinator supports the full lifecycle of store development across the JDSF Retail Canada portfolio, including Real Estate Planning, Lease Administration, Design, Construction, Procurement and Facilities. This role is responsible for organizing development workflows, maintaining lease compliance, financial tracking, supporting construction execution, and ensuring accurate documentation across all projects. The position requires strong organizational skills, financial awareness, attention to detail and the ability to coordinate internal and external stakeholders in a fast-paced customer-focused environment.
Key Responsibilities
Store Development & Construction Coordination
Support Department Managers in new store openings, relocations, renewals, and renovations
Assist in reviewing CapEx submissions and tracking budgets
Coordinate and document supplemental instructions and contract updates
Organize progress meetings, prepare minutes, and track action items
Maintain and distribute schedules and approval logs
Review drawings and specifications for accuracy and completeness
Prepare and manage digital project file systems for landlords and consultants
Lease Administration & Portfolio Support
Maintain complete and accurate lease files (leases, amendments, renewals, and communicate tenant issues)
Abstract lease documents and update lease summary schedules
Track critical dates (expiry, renewals, rent reviews, notice periods, break options)
Coordinate landlord consent requests (assignments, alterations, approvals)
Ensure compliance with lease obligations, including insurance and reporting requirements
Support lease negotiations with historical information, maintaining Store Development data room
Financial & Cost Coordination
Coordinate rent, CAM, operating costs, and additional rent payments with Finance
Review landlord rent statements and reconcile discrepancies
Track allowances, security deposits, letters of credit, and statutory declaration preparation.
Support lifecycle billing accuracy for store development
Documentation, Systems & Reporting
Maintain accurate records in Smartsheet, Monday, Lucernex and internal drives
Produce portfolio reports, including lease expiry schedules, rent rolls, and CapEx trackers
Create dashboards and tracking tools to improve transparency and reporting
Support internal audit processes related to lease and project documentation
Identify and implement process improvements to enhance efficiency
Cross-Functional Coordination
Collaborate with our local, regional and international teams as required
Serve as an administrative liaison for the department
Ensure invoices and documentation are processed efficiently across the full project lifecycle
Assist with special projects and strategic Store Development initiatives
Qualifications
1-2 years of experience in retail property, lease administration, construction coordination, or commercial real estate
Experience in retail and or hospitality preferred (Customer Centric)
An understanding of commercial lease structures and terminology
Ability to read and interpret construction drawings
Intermediate to advanced proficiency in Microsoft Excel
Experience with lease or project management systems (Lucernex, Smartsheet, Mondays, ClickUp preferred)
Strong organizational and deadline management skills
Clear and professional written and verbal communication
High attention to detail and financial accuracy
