This role is focused strictly on email and calendar operations. Not social media. Not marketing. Not random admin tasks.
Your job is simple but important: create and maintain order.
Responsibilities:
• Achieve and maintain Inbox Zero
• Clean up and organize existing inbox (thousands of emails likely)
• Create and manage Gmail filters and label systems
• Review spam daily and rescue important emails
• Unsubscribe from unnecessary newsletters and junk
• Flag urgent emails immediately
• Draft replies for my approval
• Track email threads that require follow-up
Calendar Management:
• Organize Google Calendar cleanly and strategically
• Confirm meetings and ensure details are complete
• Add Zoom links, locations, contact info, and notes
• Prevent double booking
• Build in buffer time between meetings
• Send a weekly calendar overview every Sunday
Ideal Candidate:
• 3+ years experience managing executive inboxes
• Expert-level Gmail and Google Calendar knowledge
• Strong written English
• Calm, structured, proactive
• Understands confidentiality and discretion
• Available during U.S. business hours (Pacific Time preferred)
