The Alma Mater Society (AMS) is the University of British Columbia's (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

Description

The AMS Services' main mandate is to offer services and resources to the membership which are in significant demand and aim to further the well-being of the membership as a whole.

Each of these Services are run by a Coordinator, and in some instances, with the help of Assistant Coordinator(s).

Each of the Coordinators will be overseen on a daily basis by the Senior Manager, Student Services, a full-time, permanent, non-student role.

The Tutoring Coordinator manages and oversees AMS Tutoring – a service that provides free drop-in tutoring to UBC students in the AMS Nest and low-cost Appointment Tutoring.

AMS Tutoring is staffed by UBC students who are outstanding academics and with strong interpersonal skills. This position offers diverse responsibilities and an opportunity to expand your experience in administering programs, organizing workshops and marketing this useful and popular AMS Service. AMS Tutoring works closely with multiple UBC campus partners in facilitating joint staff training, promotions, group tutoring sessions, and other programming.

Duties and Responsibilities:

  • Ensure the successful operation of AMS Group Tutoring in the AMS Nest
  • Ensure the successful operation of AMS Appointment Tutoring through Nimbus Tutoring software
  • Research and evaluate current Service models to develop and recommend new, adaptable Service tutoring programs
  • Work collaboratively with the Chapman Learning Commons for ongoing training for tutors and development of the service
  • Ensure adequate staffing levels to meet student needs by facilitating ongoing recruitment, selection and training of group and 1-on-1 tutors throughout the school year
  • Liaise with campus partners including Undergraduate Societies
  • Assist in developing long-term funding and support for the Service
  • Ensure appropriate confidentiality in all aspects of the Service
  • Coordinate the hiring and training of Tutoring Supervisors and Tutors
  • Facilitate monthly training and professional development opportunities for all staff
  • Work closely with the Student Services Manager in developing successful outreach initiatives to advertise and promote the Service
  • Post and attend regular office hours
  • Attend weekly Services team meetings
  • Attend weekly 1-on-1 meeting with the Senior Manager, Student Services
  • Develop and maintain a Service Operations Manual
  • Gather statistics regarding utilization of the Service in collaboration with the Chapman Learning Commons
  • Prepare a detailed budget and manage the finances of the Service
  • Prepare a series of reports including: monthly reports to the Senior Manager, Student Services, end-of-term review report for the Learning Commons and a transition package (manual, report and position timeline) for the next Tutoring Coordinator
  • Works within the AMS mission statement and values to operate a successful Service
  • Other duties as required 
  • Qualifications:

  • Must be a currently registered student at UBC Vancouver or one of its affiliated colleges 
  • Team leadership skills
  • Strong problem-solving skills
  • Excellent interpersonal and communication skills
  • Ability to collaborate and work in a team environment as well as independently
  • Experience with budgeting, scheduling and administrative tasks
  • Strong organizational and time management skills
  • Demonstrated leadership skills
  • Experience with AMS Tutoring an asset
  • Experience in hiring staff or volunteers
  • Innovative and creative with an interest in improving the Service
  • Eligibility: Must be a currently enrolled student at UBC Vancouver, eligible for the Work Learn program.

    Experience Level: Current Students in an Undergraduate Program, Current Students in a Masters Program, Current Students in a Phd Program
