Operations Excellence Analyst

The purpose of an Operations Excellence Analyst's job is to understand the operations of the organization and identify areas where data or process changes can improve performance. The analyst engages with leadership and teams to understand workflows, operational processes, define problems, and design collection methodologies that align with organizational requirements, and support implementation of optimized processes.
Responsibilities
Data Analysis and Organizational Performance Measurement:
- Gather relevant data from various sources to develop performance measurement frameworks, including KPIs
- Review and cleanse large, imperfect datasets, identifying gaps, inconsistencies, and limitations
- Proactively surface data issues and develop solutions
- Document and maintain organized records of data sources, definitions, and processes
- Assist with monitoring data quality, e.g., accuracy and consistency, and flag issues
- Assist with basic statistical analysis and data modeling
- Review performance and operational data sources to identify risks to goal accomplishment, working with leadership to mitigate identified risks
- Translate complex data into actionable insights and recommend solutions that meet organizational requirements and establish best practices and standards
- Develop, maintain and utilize dashboards reports to track KPIs and operational health
- Create regular reports that summarize findings and highlight trends over time.
- Support managers and staff in adopting a transparent and performance-based operational approach underpinned by verified reporting, e.g. guide them in generating and utilizing organizational performance data, such as key performance indicators to assess how well organizational goals are being met
- Support senior leaders by providing data to hold units and departments accountable to KPI's and operational metrics, ensuring values outside set thresholds are appropriately flagged, explained with remediation proposals recorded
Workflow Analysis and Process Optimization
- Analyze workflows, systems, and performance metrics to uncover trends and bottlenecks
- Map and assess current state (as-is) operational process diagrams
- Guide teams to develop and implement process improvements and automation initiatives utilizing Lean Six Sigma and change management methodologies
- Document and maintain future (to-be) state operational process maps
- Monitor the effectiveness of key organizational processes and recommend continuous improvements
- Design and enhance work tools that simplify and/or standardize operational tasks
- Build a culture of continuous improvement within organizational change
- Coach interest holders and team members on reporting expectations, process adherence, and continuous improvement practices
- Support ad hoc data requests and questions on organizational operations and opportunities
Project Planning and Execution
- Organize, lead and facilitate cross-departmental project teams related to assessing and improving organizational performance
- Gather requirements, plan approach, map work/dataflows, schedule tasks, track issues, and manage risk and interest holder's engagement through execution
- Simultaneously manage multiple (up to 4) projects or deliverables with low to medium complexity, leading these initiatives from initiation to close-out
Qualifications, Skills and Experience:
- Completion of a post-secondary diploma or degree in business, data science or engineering related field
- Minimum of 4 years' related experience in project or organizational performance management, with at least two initiatives delivered in a field(s) outside of Information Technology
- The following are considered assets for this role:
- Six-Sigma Green Belt (or higher) certification, Design Thinking or in pursuit of same
- Change Management certification or awareness of fundamental principles
- Project Management courses at College or University level would suffice
- Understanding and experience of regulatory requirements, including working with compliance-focused data
- Experience with end-to-end requirements delivery, and communicating results to senior leadership
- Experience working in a regulatory environment is an asset
- Experience using critical thinking/problem solving, leveraging data to articulate problems, develop recommendations, and measure performance
- Experience documenting, mapping, analyzing, as-is and to-be processes through workflows
- Familiar and comfortable with best practices in data visualization
- Proficient in analytical and visualization software, for example, SQL, Power BI, Tableau, to identify and report trends and insights
- Excel skills to collate, analyze and report on performance findings
- PowerPoint skills to develop presentations for internal and external audiences
- Time management skills to manage deadlines within and across multiple projects
- Communication skills, both oral and written, to convey salient analytical insights
- Group facilitation skills to guide teams to achieve objectives
- Ability to generate and sustain motivation of self and others to influence and achieve buy-in
- Analytical skills to recognize problems and research the options for resolution
- Remain engaged in data cleansing and analysis despite challenges in data quality, e.g., incomplete, or inconsistent records
