Our Client
Our client is a not-for-profit organization responsible for delivering Saskatchewan & British Columbia's province-wide household packaging and paper recycling program. The work is carried out in collaboration with local governments, First Nations, and Métis communities, private companies and other organizations to collect these materials and work with businesses and organizations to receive, sort, and recycle, so that all packaging and paper can become new materials. Behind the program is a dedicated team known for being collaborative, approachable, and invested in the work.
As Saskatchewan moves toward a full extended producer responsibility model, our client is taking on an expanded role that brings both greater accountability and greater opportunity to improve how recycling is done across the province.
Title: Coordinator, Program-Led Services
Location: Saskatoon, SK or North Vancouver, BC | Hybrid
Reporting to: Manager, Program-Led Services
The Opportunity
As recycling programs expand and evolve across Western Canada, strong operational coordination becomes essential. As the Coordinator, Program-Led Services you play an important behind-the-scenes role in supporting recycling operations across Saskatchewan and British Columbia. By maintaining accurate curbside & multi-family data and supporting collection schedules, reporting, and process improvements including validating household data, you help ensure teams have the information they need to support communities effectively.
You will collaborate closely with internal colleagues and occasionally liaise with local governments and service providers to keep information aligned and up to date. This is an independent, detail-oriented role designed for someone who is analytical, organized and motivated by building reliable systems in a growing operational environment.
Key Responsibilities
As the Coordinator, Program-Led Services, you will work collaboratively and are responsible for:
1. Data Management and System Accuracy
Maintain tools and processes for tracking, validating, and managing curbside and multi-family household data, including household counts, new property onboarding and removals, contractor datasets, and related program metrics.
Assess and compile detailed collection information such as service zones, postal codes, contact details, collection frequency, access requirements, and third-party contractor involvement.
Analyze existing datasets to identify anomalies, gaps, or inconsistencies and support continuous improvement in data accuracy and reliability.
Assist with documenting and verifying asset transfers and operational information during contractor transitions.
Liaise with local governments, contractors, and vendors as required to ensure accurate and up-to-date information.
2. Development and Maintenance of Tools, Standards, and Processes
Work closely with internal team members to support the development of plans and processes that ensure effective program oversight and consistent information management.
Assist with the development and coordination of collection schedules and annual collection guides, including managing related inquiries, updates, and procedural improvements.
Coordinate with the client's digital service platform provider regarding website and app collection schedules, addressing inquiries or updates related to direct service or program-led areas.
Develop and maintain standard operating procedures to support effective project and process management.
3. Project Support and Strategic Development:
Assist with the distribution and tracking of outreach materials to inform residents and property managers on service updates, schedules, or recycling processes.
Assist with procurement coordination, including tracking submissions, scheduling meetings, and providing logistical support throughout the procurement and transition process.
Work with internal teams to coordinate process development, outreach activities, and support program operations.
Develop external relationships and coordinate with collection service providers, local governments, suppliers, and related associations.
Consolidate and assess monthly customer service reports from all direct service and program-led contractors, while being able to analyze reports and providing feedback to internal and external teams.
Assist with direct service and program-led transitions directly with local governments and existing/new contractors, including coordination with internal teams.
Maintain administrative support for all direct service and program-led areas, provide guidance to other team members on data management principles and tools.
Collaborate with team members to support the advancement of collection and post-collection projects and pilots to assist in the development of project work plans, timelines, and summary reports.
Assist with project plan tasks to meet milestones to ensure project activities are completed on schedule.
Qualifications
As the Coordinator, Program-Led Services, you will possess the following qualities:
The Essentials (Hard Skills):
Post-secondary education in environmental studies, sustainability, geography, data management, supply chain, computer engineering, or a related field is considered an asset.
Minimum of 2 years of experience in an operations or service-delivery environment, preferably within supply chain, waste management, municipal services, or a related sector.
Strong understanding of database management and data validation processes, with the ability to maintain accurate, up-to-date datasets.
Experience coordinating projects or supporting procurement, contractor management, or operational transitions is considered an asset.
Proficiency in Microsoft Office Suite, particularly Excel, with the ability to analyze and organize data effectively.
Comfort liaising with external stakeholders (local governments, contractors, vendors) as needed to ensure information accuracy and support reliable program execution.
