Position Overview
The Executive Assistant to C-level Executive is a senior, trusted partner who provides comprehensive executive, operational, and project-based support in a fast-paced healthcare environment. This role is ideal for a highly organized, proactive Executive Assistant who thrives on complexity, anticipates needs, and operates with discretion, confidence, and initiative.
Acting as an extension of the C-level Executive, you will support both strategic priorities and day-to-day execution across growth initiatives, marketing, communications, partnerships, operations, and special projects. This role goes well beyond traditional administrative support and requires strong judgment, technological fluency, and the ability to manage multiple priorities simultaneously.
You will serve as a key liaison between executive leadership, internal teams, and external partners, ensuring alignment, follow-through, and seamless execution. This is a unique opportunity for an experienced Executive Assistant who enjoys variety, high-discretion work, and making a measurable impact while growing alongside a senior leader.
Key Responsibilities

Executive Support & Administration
Manage a complex executive calendar, including scheduling, prioritization, and conflict resolution
Oversee high-volume email correspondence, triaging urgent matters and ensuring timely follow-up
Prepare agendas, reports, presentations, dashboards, and executive communications
Attend meetings to document minutes, action items, and ensure follow-through
Maintain organized digital files, records, and documentation systems
Manage select scheduling, reminders, and personal administrative support for the C-level Executive
Exercise sound judgment and discretion when handling confidential information
Project & Operations Management
Track project timelines, deliverables, approvals, and key initiatives across growth and marketing functions
Prepare KPI dashboards and reports to support data-driven decision-making
Identify workflow gaps and recommend process improvements
Support SOP development and documentation
Manage competing priorities and respond effectively to urgent matters
Marketing, Communications & Growth Support
Support marketing, communications, PR, and media initiatives
Review marketing materials, social media calendars, and outbound communications prior to executive approval
Consolidate executive feedback and ensure alignment across marketing and growth partners
Track marketing budgets, invoices, and vendor agreements
Maintain organized repositories of marketing assets and creative materials
Conduct market and site research to support expansion initiatives
Stakeholder & Event Coordination
Serve as a liaison between the C-level Executive, leadership, vendors, and external partners
Coordinate internal and external events, including town halls, partnership meetings, and leadership sessions
Oversee event logistics, vendor negotiations, promotional materials, and related deliverables
Represent the organization professionally at meetings and growth-related engagements
Qualifications & Experience
Proven experience supporting a senior executive (C-suite or equivalent) in a fast-paced, complex environment
Demonstrated ability to manage highly sensitive and confidential information with discretion
Strong project management, organizational, and prioritization skills
Exceptional attention to detail and follow-through
Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint), collaboration tools, CRM platforms, and AI-enabled tools
Experience supporting marketing, communications, PR, or growth initiatives
Strong analytical skills with the ability to interpret dashboards and reports
Excellent verbal and written communication skills
Professional presence with the ability to represent executive leadership effectively
Ability to work independently, manage ambiguity, and thrive under pressure

Work Arrangement: In-office
Hours: Full-time, Monday–Friday (40 hours/week)
Compensation: $100,000 - $120,000
