Description:

The Branch Administrator will be tasked with executing day-to-day operational, administrative, and agent-retention deliverables that enhance the efficiency and effectiveness of the Branch's corporate objectives. The position is also responsible for the successful implementation of customer service, training plans, and initiatives for our agents, and for assisting our management team with recruitment efforts. 

Your hours of work will be Monday to Friday from 9am to 5pm. 

Please note that active trading is not permitted during your employment in this role.

Responsibilities:

  • Respond to general phone inquiries and distribute incoming paperwork
  • Collect deposit cheques from agents/buyers and prepare receipts, prepare bank deposits, enter deposit information into Lone Wolf and physically making deposits at the bank
  • Assist agents to set up their profile in BrokerBay, Lone Wolf, deal processing paperwork, navigating various operating systems, and RECO registrations renewals.
  • Handling incoming TREB/CORNERSTONE violations and following up with agents
  • Prepare welcome and recruiting packages for new agents, assist in orientation meetings
  • Manage and follow up with agents on RECO registration renewals and reinstatements
  • Ensure TREB, OREA, RECO dues are paid.
  • Submit order form charges to accounting
  • Prepare and schedule a monthly activity calendar
  • General upkeep at the office, agent workstations and hospitality area, order office supplies, manage photocopier codes
  • Follow up with commission cheques with other brokerages and lawyers' offices and make notes on Lone Wolf about any updates and updating deal secretaries
  • Ensure board violation notices are rectified
  • Manage agents' replacements when going on holidays
  • Other duties as assigned by the branch manager. 
  • Handle the health and safety aspects of the branch.

Qualifications:

  • 5+ years' experience in the residential real estate industry is an asset
  • Knowledge of Lone Wolf real estate software is an asset
  • Knowledge of Brokerbay is an asset
  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint)
  • Creative problem-solving skills with a high level of attention to detail and finely tuned organizational skills and ability to work in a fast-paced office
  • Must be customer service oriented with excellent English verbal and written communication skills
  • Ability to multi-task and meet deadlines
