Position Details: Full Time Permanent, New Position
Salary: Starting at $54,300, (based on a 35-hour work week and commensurate with individual education and experience, as it relates to the position).
Location: Hybrid at our national headquarters located at Oak Hammock Marsh near Stonewall, MB

What You Will Do

We're looking for a collaborative, detail‑oriented and organized Stewardship Coordinator to support key priority areas related to major gift, gift-in-kind and complex opportunities, with a special focus on President's Council, Recognition and Canadian donor management. This role will work closely with key internal and external customers to help build and maintain key relationships and will support the management and improvement of supporter data.

Key responsibilities include but are not limited to:

  • Maintain donor level movement and President's Council (PC) status in Salesforce. 
  • Analyze data to confirm level and appropriate recognition then communicate with the Development team.
  • Provide ongoing assistance on Opportunity/Payment creation and adjustment
  • Ensure compliance with CRA rules when issuing tax receipts.
  • Assist the Development team with:
    • Processing incoming funds and updating the associated payment records in Salesforce, including complex Gift In-Kind donations
    • Making sure that all transactions are issued appropriate tax receipts.
    • Pledge reminders
    • Gathering information for impact communications
  • Manage Salesforce activities related to PC achievement, cross check with preferences, maintain accuracy of PC spreadsheet for new, renewing, and total members, continue to improve process and reporting.
  • Ensure that new and renewed cards are sent to DUC President for personalization with all required materials on a quarterly basis.
  • Work with Development team in following up with donors on PC membership renewal.
  • Manage processes relating to Flow Through donations relating to Lifetime Giving and ensure proper PC status; analyze PC Flag logic to ensure that all applicable forms of donation are accounted for (securities, flow through, cash, etc.)
  • Manage the order fulfillment, inventory and logistics of recognition items for Canadian donors. 
  • Cross train in managing DUI donor records and recognition to provide backup for the Stewardship Coordinator (US) as needed.
  • Work with the NMDO in finding new and innovative methods for donor recognition and appreciation. 
  • Responsible for mailouts, follow up with potential donors coming to us through events or initiatives, properly directing inquiries, arranging follow ups, etc.

Requirements

  • At least 3 years of experience in fundraising, stewardship, or CRM data management. 
  • Diploma in Fundraising, Business Administration, Nonprofit Management, Communications, Data Management, or a related field. A combination of equivalent education and experience will be considered.
  • Knowledge of basic banking practices required including deposits, credit card processing, EFT and batch entry.
  • Strong knowledge of Microsoft Office programs, database management, and Major Gift Account Management systems.
  • Ability to communicate via telephone, email, letters, etc. (regarding payment, financial and stewardship issues/concerns). 
  • Ability to deliver exceptional customer service that builds trust and strengthens relationships 
  • Ability to accommodate a variety of audiences (frontline volunteers, senior executives, external partners) in a courteous manner, and handle sensitive conversations.
  • Ability to adhere to confidentiality and PCI compliance standards. 
  • Ability to elevate a call or email for successful resolution, problem solve and exercise good judgment to come to a successful resolution.
  • Sound judgment in ability to recognize when to escalate inquiries appropriately.

Assets

  • Experience in a fundraising or nonprofit environment is an asset.
