Role Description
This is a 6-month contract, on-site role located in Vancouver, BC, for a Reception and Office Administrative Assistant. In this role, you will be responsible for managing daily front desk operations, including greeting clients, answering and directing phone calls, scheduling appointments, and handling general inquiries. Additional responsibilities include performing clerical tasks such as filing, data entry, and maintaining records, as well as providing administrative support to the team to ensure efficient office operations.
Responsibilities
Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a warm and welcoming environment
Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
Handle front desk duties including scheduling appointments, managing mail, maintain lobby and boardroom cleanliness, etc.
Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
Assist Advisors or their Assistants with courier packages, scanning documents, assemble presentation folders, etc.
Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily administrative tasks
Assist with bookkeeping tasks using Sage 300 to support basic financial record-keeping
Assist with other Receptionist job duties and Ad-Hoc tasks assigned by the Office Manager
Qualifications
Proven minimum 1 year experience in office administration or clerical roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, and data entry tools
Strong customer service skills with the ability to handle inquiries professionally via phone or in person
Experience with multi-line phone systems, calendar management, and filing systems is preferred
Knowledge of Sage 300 and basic bookkeeping will be considered as an asset
Knowledge in Finance or experience working in an wealth management office will be considered as an asset
