Niagara Falls Tourism is seeking a highly organized, proactive, and service-oriented Group Sales Coordinator to support the Niagara Falls Tourism Sales Team. This role is a key administrative and coordination position that ensures the smooth, efficient, and effective operation of group sales activities across tour & travel trade and business events. The Group Sales Coordinator enables the Sales Team to focus on strategic sales, relationship development, and revenue generation by providing exceptional operational, client, and member support.
The Group Sales Coordinator plays a critical role in maintaining strong internal workflows, delivering outstanding client and member experiences, and supporting the execution of sales initiatives that drive economic impact for the destination.
The Group Sales Coordinator reports directly to the Director of Sales, Niagara Falls Tourism.
What we are looking for in you
Preferred Education and Experience:
· Post-secondary diploma or degree in Business Administration, Hospitality, Tourism, or a related field.
· Minimum of 2 years of experience in business administration or office coordination.
· Experience within the tourism, hospitality, or destination marketing sector preferred.
· Experience supporting sales teams, client programs, or member-based organizations considered an asset.
Skills, Knowledge, and Abilities:
· Strong administrative, organizational, and time-management skills with the ability to manage multiple priorities.
· Advanced computer proficiency, including Microsoft Office (Outlook, Word, Excel, PowerPoint, PDFs) and CRM/database systems.
· High attention to detail with strong data entry and reporting skills.
· Excellent written and verbal communication skills.
· Ability to work independently while also collaborating effectively within a team environment.
· Professional judgment, discretion, and the ability to manage confidential information.
· Strong interpersonal and diplomatic skills when working with members, clients, and partners.

· Ability and willingness to work occasional evenings or weekends in support of sales initiatives, client programs, or events.
What we will expect from you
Sales Team & Administrative Support:
· Provide comprehensive administrative support to the Sales Team, including correspondence, document preparation, reporting, and presentation development.
· Prepare reports, spreadsheets, presentations, and sales documentation as requested by the Director of Sales.
· Maintain organized electronic and manual filing systems to ensure timely access to information.
· Act as a liaison between sales managers, NFT departments, members, and external stakeholders to coordinate meetings, follow-ups, and projects.
· Take accurate meeting minutes for tour & travel trade, business events, and sales team meetings, and ensure timely follow-up and execution.
Client & Member Services:
· Coordinate client, media, and partner arrangements including accommodations, transportation, and itineraries.
· Support the planning and execution of FAM tours, site visits, destination visits, meetings, and client events, including coordinating timelines, suppliers, and deliverables.
· Assist with budgeting, pricing, and cost control for FAM activities, including tracking in-kind contributions, and supporting post-program reconciliation.
· Prepare agendas, schedules, and materials for sales meetings, site inspections, and client programs.
· Assist with brainstorming and logistical coordination for sales initiatives and events.
CRM, Data & Systems Management:
· Serve as a primary point of contact for the CRM system, including data entry, database maintenance, reporting, mail merges, and document templates.
· Ensure data accuracy, consistency, and integrity across all sales and client databases.
· Support staff training and ongoing CRM best practices.
Special Projects & Digital Support:
· Maintain and update group sales website content in collaboration with the Marketing team.
· Coordinate member information updates, verify accuracy, and manage content changes.
· Support basic social media activities related to group sales initiatives, including drafting and scheduling posts on platforms such as LinkedIn, in collaboration with the Marketing team.
· Assist with content coordination for FAM tours, site visits, and sales initiatives, including collecting photos, key messages, and partner details for digital use.
· Support new tools, processes, or functional enhancements related to group sales operations.
Financial & Operational Coordination:
· Research pricing, prepare purchase orders, and process invoices in accordance with NFT policies.
· Prepare cost estimates, budgets, pricing summaries, and final cost reports for sales activities, FAM tours, and events, ensuring alignment with approved budgets and internal financial policies.
· Manage promotional inventory, including sourcing, ordering, tracking, and reconciliation.
· Coordinate travel arrangements for clients and sales team members.
Collaboration & Professional Standards:
· Work closely with Travel Trade and Business Events Managers to support sales priorities and initiatives.
· Assist with public relations activities related to group sales in collaboration with the Public Relations team.
· Maintain a professional image and conduct yourself as a brand ambassador for Niagara Falls Tourism.
· Cultivate a strong understanding of NFT's programs, membership, initiatives, and destination offerings.
· Monitor industry trends and local issues impacting group sales and destination marketing.
