ROLE DESCRIPTION
The People & Studio Coordinator makes our studio a great place to be in. You will support the full employee lifecycle and keep day-to-day workplace operations running smoothly. This role coordinates recruitment, onboarding, HR administration, payroll and benefits updates, performance and learning coordination, culture and engagement initiatives, and office logistics. You will help create a values-aligned employee experience while maintaining strong administrative foundations.
CORE FUNCTION
1. Recruitment, Onboarding & Offboarding
Coordinate end-to-end recruitment logistics and communication.
Support hiring managers to deliver a consistent, values-aligned candidate experience.
Manage onboarding and offboarding processes and documentation.
2. HR Administration, Payroll & Compliance
Maintain accurate employee records and HR systems.
Payroll and benefits administration.
Ensure compliance with employment standards and internal processes.
3. Performance, Learning & Development Coordination
Support performance review cycles and development planning.
Coordinate professional development and learning opportunities.
Maintain performance and training records.
4. Culture, Engagement & Office Operations
Support culture-building initiatives, recognition programs, and internal communications.
Coordinate team events and engagement activities.
Oversee daily office operations: supplies, building access, workspace readiness, vendor coordination, and basic facilities needs.
Liaise with IT/facilities partners to coordinate systems access, equipment set-up, and workspace infrastructure needs.
DETAILS OF FUNCTION
Post job openings, organize candidate communication, and schedule interviews.
Support with onboarding checklists, system access, equipment needs, and orientation support.
Execute offboarding steps including documentation, access removal, and exit coordination.
Update BambooHR records and manage employee data accuracy.
Prepare payroll adjustments, documentation, and benefits enrollments.
Monitor adherence to HR policies and regulatory requirements.
Ensure managers schedule performance reviews, track completion, and maintain related documentation.
Research and coordinate learning opportunities for employees.
Plan team events, celebrations, and culture activities aligned with Farmboy values.
Draft and support internal communications highlighting milestones and employee stories.
Gather informal feedback to help strengthen an inclusive, connected workplace.
Manage office supplies, building access, workspace readiness, and vendor coordination.
Liaise with IT and facilities partners to maintain a functional, inspiring environment.
Support the Accounting team with expense tracking.
ADDITIONAL NOTES
2+ years in HR coordination, people ops, office administration, or a similar role (or equivalent experience).
Comfortable handling confidential information with discretion.
Experience supporting recruitment logistics and onboarding/offboarding workflows.
Familiarity with people systems (e.g., BambooHR) and comfort with spreadsheets/documentation.
Understanding of BC employment standards and HR compliance basics (or ability to learn quickly).
Strong organization, attention to detail, and ability to manage multiple timelines.
Clear written/verbal communication; confident coordinating across teams and external vendors.
Proactive, service-oriented, and motivated by building a positive employee experience.
