This is not a generic chatbot. It must look and feel like me, with calm, direct coaching tone, and be grounded in an approved knowledge base. The objective is to increase email sign ups for our free Morning Momentum Starter Pack and provide an always on AI Coach for business owners.
Scope of Work
Voiceflow setup and agent build
Create a Voiceflow agent with a controlled conversation experience and strict tone rules.
The AI Coach must support four user modes:
Plan my day (one action, three priorities, simple schedule)
Help me decide (options, risks, recommendation, first step)
Write this for me (emails, messages, templates in my style)
I need expert support (capture context and create a concise case summary for human follow up)
Knowledge base grounding
Set up Voiceflow Knowledge Base and connect it so the agent responses are grounded in our approved content.
I will provide the content, but you should advise on the best structure and formatting for high quality retrieval.
Email capture inside the chat
Implement soft gating: allow one to two messages for any visitor, then prompt for email to unlock deeper outputs such as plans and templates.
Captured details should be stored as variables and passed to our email system or CRM as agreed.
CRM routing (Pipedrive preferred)
When a user needs implementation support, the agent should ask a small set of structured questions, generate a short case summary, ask permission to share it, and then create a lead in Pipedrive with tags and the summary.
If direct Pipedrive integration is not possible within Voiceflow, use a webhook to Zapier or Make.
WordPress implementation
Embed the Voiceflow web chat widget site wide on our WordPress site.
Create a dedicated page called AOB AI Coach with an embedded chat experience inside the page body.
Ensure the experience is branded, clean, and premium.
Tracking and handover
Ensure we can track key events, at minimum:
AI Coach opened
Email captured in chat
Routing request completed
Provide clear handover documentation and a short Loom walkthrough of how to manage and update the agent and knowledge base.
Deliverables
A working Voiceflow AI Coach with knowledge base grounding
Email capture and soft gating working as specified
Routing to Pipedrive or via webhook automation
Voiceflow widget embedded site wide on WordPress
Dedicated AOB AI Coach page with embedded chat
Handover documentation and walkthrough video
Requirements
Proven Voiceflow experience with examples
Experience embedding Voiceflow into WordPress
Experience connecting Voiceflow to external APIs or automation tools (Zapier or Make)
Strong understanding of prompt design and guardrails to prevent hallucinations and protect brand tone
Comfortable working with UK English and premium brand standards
