About us:
The Department of Mechanical & Industrial Engineering is home to about 60 professors leading research on a very broad range of topics. On the Industrial Engineering side, research areas include Operations Research, Information Engineering, Human Factors, and Applied Machine Learning, all of which seek to improve the systems we as humans rely on to navigate our world. On the Mechanical Engineering side, research areas include Robotics, Mechanics & Design, Materials, and Thermofluids, topics that are applied to applications including manufacturing, energy production, and bioengineering.
We are also home to about 2,000 very talented students: about 1,300 undergraduates are enrolled in the Industrial Engineering and in the Mechanical Engineering BASc programs. We have about 350 Master of Engineering (MEng) students, a professional program for students taking courses with us for a year or two. And we have about 350 MASc and PhD students, who work individually on research projects with a particular professor.

Your opportunity:
The incumbent will be responsible for advising research (MASc and PhD) students on academic matters, responding to inquiries, and preparing acceptance and/or rejection letters to applicants. They will also be responsible for analyzing income applications from students and promoting the research program at recruitment events. Handling confidential information is essential for this position. This position will also be responsible for updating internal databases, such as the MIE Graduate Management system and ROSI.
Your responsibilities will include:

  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Preparing acceptance and/or decline letters to applicants using templates
  • Ensuring that procedures and/or guidelines are followed
  • Scheduling committee meetings
  • Promoting programs at recruitment events
  • Generating reports
  • Handling sensitive and/or confidential information

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three (3) years of relevant experience supporting programs and advising students on academic matters. 
  • Minimum one (1) year of experience advising students on relevant academic matters at a post-secondary level.
  • Experience interpreting and applying academic policies at a post-secondary institution.
  • Experience providing basic support to distressed students including but not limited to connecting them to resources and support.
  • Experience working with databases, performing data entry, and producing reports in a high volume/high accuracy environment.
  • Proficiency with student information systems (e.g. Rosi, Degree Explorer, Slate) and MS Office Suite (e.g. Outlook, Word, Excel and PowerPoint).
  • Effective verbal and written communications skills; ability to understand complex information and policies and successfully convey them to a wide range of audience.
  • Demonstrated sensitivity to student needs and excellent customer service skills with the ability to develop relationships with internal and external stakeholders.
  • Ability to work independently and within a team and with direction.
  • Meticulous organizational skills and the ability to prioritize and work effectively in a fast-paced environment with strict deadlines.
  • Proven ability to demonstrate strong judgement, initiative, accountability, tact, diplomacy, and professionalism.

Pay Scale Group & Hiring Zone:  
USW Pay Band $76,577. with an annual step progression to a maximum of $97,928. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
